About the Refugee Health Program

The Refugee Health Program supports people who are newly arrived refugees, refugees who have ‘fallen through the health care gap”, asylum seekers, and people from a “refugee-like” background who arrive on different visa types (e.g. student, spousal etc).  It comprises of a multidisciplinary team made up of General Practitioners, a Nurse Practitioner, Registered Nurses, and Bicultural Workers. The purpose of the team is to ensure people from refugee and asylum-seeking backgrounds are comprehensively assessed on arrival and a plan of care is developed to optimise their health and quality of life. This service helps to support people to navigate the health system and to work with providers across this system to achieve optimal health outcomes. We aim to deliver coordinated, person-centred, effective, and appropriate care to clients from a refugee and asylum-seeking background.

Position Overview

This is a fantastic opportunity to make a positive impact on the lives of our clients. Working in close collaboration with our team of Refugee Health GP’s, Nurse Practitioner, Refugee Health Nurses and Bicultural workers, you will provide comprehensive administrative support which will contribute to the smooth running of the program. This will include (but is not limited to) scheduling of appointments, booking interpreter services, supporting internal and external referrals to services, and supporting the team with general administration. 

Key Responsibilities

• General Administration: Provide broad administrative support to Clinical and Complex Care Services teams and programs.
• Customer Service: Respond promptly to internal and external enquiries, manage customer appointments, and support recruitment and retention activities.
• Documentation: Draft and contribute to various documentation including minutes, presentations, reports, and general correspondence.
• Compliance: Support compliance reporting requirements and ensure all organizational, funding, and legislative obligations are met.
• Project Support: Assist with project activities, ensuring meticulous attention to detail, effective tracking of actions, and logistical support.
• Stakeholder Communication: Communicate clearly and effectively with stakeholders across all levels within the Primary Care teams and programs.

Qualifications and Skills

• Education: Certificate III/IV in Business Administration or Allied Health Assistant is highly regarded.
• Administrative Skills: Well-developed skills with a strong focus on attention to detail and accuracy.
• Technical Proficiency: Confident using MS Office Suite applications.
• Customer Service: Approachable with excellent customer service skills.

The Procurement, Contract & Administration Lead will play a pivotal role in the management, monitoring and purchase of goods, materials and services to ensure that the company operational needs are met, taking into account price, quality and delivery and to ensure continuity of supply.

Responsibilities

• Support the organization by serving as the central figure in negotiating and drafting contracts with suppliers for Viva Energy Polymers to procure goods and services.
• Maintain strong stakeholder engagement through transparent communication.
• Ensure cost-effective results while aligning all contracting processes, communications, and negotiations with Viva's values and policies. Producing comprehensive and efficient contracts.
• Collaborate with the Category and operational Management team to create and execute category strategies and conduct significant procurement activities when necessary.
• Offer purchasing assistance to the management team, overseeing the tendering process and preparing RFI/RTP documentation.
• Evaluate vendor proposals and suggest strategies to Viva stakeholders.
• Act as a liaison between the Legal and operational teams to prevent unnecessary delays in contract drafting and ensure alignment with Business timelines.
• Collaborate with Business stakeholders to establish negotiation strategies for contract variations or commercial terms.
• Ensure adequate stock levels to meet Production Requirements and identify potential cost savings. Whilst working closely with the maintenance Team to procure Service Providers and equipment as needed.
• Coordinate with the Project Team to generate RFQs, Tenders, or purchase orders to meet Project Requirements, assisting with vendor discussions and onboarding.
• Support each Manager and Team Leader with Cost Control and conduct Monthly Cost Review meetings to analyze spending against Plan, providing assistance in reallocating costs to correct GL codes.

The Administration Officer will work as part of the Aspect Practice team in the Aspect Autism Friendly (AF) team. The role works in partnership with non-autistic staff to provide administrative support to the team’s Autism Friendly Consultants and Executive Manager. 

Key Responsibilities:

• Sending template emails (i.e. pre-training session, post-training session) to gather or share relevant info with clients, and share with AF team
• Booking initial meetings between AF staff and client
• Developing Proposals based on notes from AF staff at Discovery Meetings
• Developing Agendas
• Booking in Calendars
• Booking Travel
• Helping to organise and advise staff of when and where to be, due dates etc
• Taking Minutes/actions
• Updating Salesforce regularly (i.e. contact info, adding products when proposals agreed, adding tasks, updating stages of projects, saving files)
• Liaising with finance for invoicing
• Keeping various lists (i.e. suggested improvements to a process or document) for review and action at a later date
• Helping to develop project plans/framework of various continuous improvement projects
• Using Salesforces to add client information, notes and run reports

Job Description

You will be responsible for supporting all aspects of our Community Health Paediatric and Counselling team's business ensuring a smooth running of our clinics and program. Working collaboratively with the Allied Health Services and the broader Primary Health program, you will help to ensure quality service delivery and robust systems and processes.

You will provide services of office administration including;

• Track and prioritise requests via admin email.
• Assist with planning and delivery of multi-disciplinary group activities such as coordination room bookings, organising resources, documentation of consent, feedback and outcomes reporting.
• Prepare and format templates, reports, manuals and documents (e.g. customer correspondence, agendas, minutes, newsletters, flyers)
• Book and confirm appointments via SMS, documenting such activities in Trakcare, including booking of interpreters.
• Assist with the creation of new health records, registering customers, archiving, retrieval and general filing of records.
