Hours: Full-time 38 hours per week

About the Refugee Health Program

The Refugee Health Program supports people who are newly arrived refugees, refugees who have ‘fallen through the health care gap”, asylum seekers, and people from a “refugee-like” background who arrive on different visa types (e.g. student, spousal etc).  It comprises of a multidisciplinary team made up of General Practitioners, a Nurse Practitioner, Registered Nurses, and Bicultural Workers. The purpose of the team is to ensure people from refugee and asylum-seeking backgrounds are comprehensively assessed on arrival and a plan of care is developed to optimise their health and quality of life. This service helps to support people to navigate the health system and to work with providers across this system to achieve optimal health outcomes. We aim to deliver coordinated, person-centred, effective, and appropriate care to clients from a refugee and asylum-seeking background.

Position Overview

This is a fantastic opportunity to make a positive impact on the lives of our clients. Working in close collaboration with our team of Refugee Health GP’s, Nurse Practitioner, Refugee Health Nurses and Bicultural workers, you will provide comprehensive administrative support which will contribute to the smooth running of the program. This will include (but is not limited to) scheduling of appointments, booking interpreter services, supporting internal and external referrals to services, and supporting the team with general administration. 

Key Responsibilities

  • General Administration: Provide broad administrative support to Clinical and Complex Care Services teams and programs.
  • Customer Service: Respond promptly to internal and external enquiries, manage customer appointments, and support recruitment and retention activities.
  • Documentation: Draft and contribute to various documentation including minutes, presentations, reports, and general correspondence.
  • Compliance: Support compliance reporting requirements and ensure all organizational, funding, and legislative obligations are met.
  • Project Support: Assist with project activities, ensuring meticulous attention to detail, effective tracking of actions, and logistical support.
  • Stakeholder Communication: Communicate clearly and effectively with stakeholders across all levels within the Primary Care teams and programs.

Qualifications and Skills

  • Education: Certificate III/IV in Business Administration or Allied Health Assistant is highly regarded.
  • Administrative Skills: Well-developed skills with a strong focus on attention to detail and accuracy.
  • Technical Proficiency: Confident using MS Office Suite applications.
  • Customer Service: Approachable with excellent customer service skills.
  • Autonomy & Teamwork: Ability to work independently and collaboratively as part of a team.
  • Problem Solving: Strong organizational, prioritization, and problem-solving abilities.
  • Communication: Confident and effective communicator.
  • Personal Attributes: High emotional intelligence, personal resilience, and tenacity.
