This role will be assisting with the onboarding of our aged care clients into various health & wellness programs. This role will require strong time management and prioritizing skills, combined with your sense of urgency will aid in your success to manage leads and identify opportunities during the onboarding process. Your days will include;

• Responding to client incoming calls and emails for Health and Wellness programs
• Assisting clients to seek referrals with My Aged Care
• Assisting with program recruitment strategies such as mail outs, outbound phone calls and other promotional activities  
• Onboarding clients into Catholic Healthcare systems
• Some travel within the region required to Wellness Hubs or Day Centers 
• Coding and reconciling invoices and forwarding to Regional Manager/  Business Manager  
• Assist internal staff/teams with requests and enquiries  
• Other adhoc administration duties as they arise

The ideal applicant will have; 

• Desire and ability to engage a diverse range of clients and referrers primarily through phone and email correspondence 

• Passion in supporting older people in improving their health and wellness  

• High level of computer literacy with the ability to learn internal systems 

• Timely & accurate record keeping - client interactions & status 

• Proficient Data Entry skills with high level of accuracy 

• Ability to provide a seamless and supported hand over to business partners 

• Must be able to provide evidence of Covid19 immunisation 

• NSW Drivers Licence and access to a registered and insured vehicle

Reporting into the Workforce Scheduling Lead, this position is responsible for effectively sourcing labour from our contingency and agency relief pools to meet staffing demands across our WA sites.

About the Opportunity

Reporting to the Executive Director, Oceans. The successful candidate will provide exceptional administrative and operations support. Working collaboratively with other Focus and Enabler areas, and Corporate Services as part of our matrix structure. Including supporting the Oceans leadership team on accounting, people, recruitment, IT, and other administrative matters as required.

This role facilitates and coordinates, tracks, and prioritises a range of critical tasks and projects in support of the broader Oceans team including:

• Managing and coordinating the day-to-day operation schedules, calendars, and appointments for complex meetings, and domestic/international travel arrangements across multiple geographies and time zones.
• Coordinating team meetings, preparation of agendas, capturing action items and arranging attendance of guest speakers.

We are on the lookout for an experienced Administration Coordinator to join our team at our Residential Aged Care home, St Peters in Lane Cove. 

Reporting to the Administration Manager, you will be someone who thrives in a busy and challenging environment while at the same time providing great customer service to our residents and families.

This is a Monday - Friday role - 60 hours per fortnight

Using your highly developed organisational and problem-solving skills, you will provide a variety of administrative support services including:

• General reception duties including front line telephone enquiries
• Coordinating tours with prospective new residents & families
• Managing new resident admissions documentation
• Staff rostering
• Processing of invoices
• Managing all staff documentation and filing including coordinating and onboarding of new staff
• Other general administrative tasks

To be successful in this role you will have strong IT skills and the ability to pick up new systems quickly. You will also need:

• A fabulous attitude!
• Previous experience in a similar role, ideally within the Aged Care sector (preferred but not essential)
• Some experience with managing on-line rostering systems
• Experience processing invoices using on-line systems (Basware)
• To multi-task and manage competing priorities – all with a smile on your face
• Certificate III in Administration (Desirable)
• Covid vaccinated
• NDIS check or willing to obtain
