Our Technology team at AIA is growing and to support this growth, we are sourcing a Business Support Officer to provide organisational and administration support to our Technology Leadership and broader employee cohort. No two days will be the same in this role and the successful candidate will have exceptional stakeholder engagement skills and the ability to work in a fast paced and continually changing environment. This opportunity can be based in either Melbourne or Sydney and a Hybrid work model is on offer.

To be successful you will:

• Build positive relationships and trust with key leaders to proactively anticipate their needs and ensure they are prepared and have the required documents in advance of meetings
• Manage business expenses of the CTO and Technology Leadership team
• Manage vendor contracts and payment as required
• Organise travel and accommodation bookings for CTO and Technology Leadership, in line with the AIA Policy
• Assistance and preparation of presentations to support CTO and GM’s
• Events and conference management as required including but not limited to venue, catering and invitations
• Offboard contingent/contract staff/vendor resources according to projects and BAU demands from collaboration with business SME’s, Project Managers and other technology partners
• Recruitment support, including collection and collation of information and documents as required
• Act as a point of contact for various staff requirements in and around the office
• Provide additional administrative support, mail management, calendar management and updating of distribution lists as required
• Engage with Executive Assistants to ensure consistency in support across the organisation and to work on joint projects & events

Our Payroll Support Consultants are partners to our clients and are responsible for gathering information and ensuring their continued support and success after implementing our Employment Hero payroll product. The Coordinator - NDIS Direct Support Rostering position is key to coordinating all aspects of rostering direct support shifts ensuring the effective delivery of services to EACH NDIS Customers. The Opportunity

The Sales Product and Support Lead is responsible for product training and knowledge across the Course Consultants’ team and support the team to meet individual and business targets. The scope of this role includes:

• Create training modules to support new and existing Consultants
• Proactively provide ongoing detailed training/refreshed training for existing and new Course Consultants
• Support the on-boarding of new Course Consultants
• Identify and deliver the implementation of process/procedures to support the team
• Deliver and train Consultants on new courses
• Identify and recommend areas to improve to meet sales targets/conversion
• Point of contact for partner queries and follow-ups
• Work closely with quality coach to identify gaps in product knowledge

About the role

As an Operations Support Officer, you are responsible to cover all aspects of customer service/freight solutions/administration component. You are also responsible to ensure enquiries that cannot be answered during the first call are investigated and resolved quickly and effectively.

What you’ll do

·       Accurately and efficiently record all client information and record all investigations into appropriate computer systems.

·       Day to Day housekeeping of inbound freight with further attention requirements 

·       Ensure all customer enquiries are actioned and resolved to company and client satisfaction in a timely manner.

·       Communicate with clients/contact center regularly through the course of an enquiry via all platforms (salesforce, phone, email)

·       Provide feedback to the Supervisor regarding consistent service failures by sub contactors or staff drivers.

·       Assist in finding solutions to prevent recurrence of service failures.

·       Support all Admin and FSOL team members in a backup capacity!

·       Ensure enquiries are handled in a professional and prompt manner.

·       Proficiency in data entry and time management.

• Coach hiring managers on recruitment policy, processes and systems.
