The Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. 

About the role

• Provide general overall facility management services, including continuous monitoring of office/facility
• Address client inquiries and concerns ensuring timely and quality issue resolution and service delivery
• Follow up with clients to ensure customer satisfaction
• Respond to all facility inquiries and complaints, assess problems and take the necessary corrective action
• Coordinate with outside contractors for the service and repairs of equipment

About You

• A minimum of 1 year of work experience in an administrative, accounting or tenant services capacity
• Experience with data entry, expansive reporting, filing, answering phones, scheduling and communications
• Previous customer service experience
• Prior experience working in the facilities/property management, commercial real estate or professional services industries preferred

About the role

• This opening is for a Freight Coordinator to join our team at our Brisbane Airport Location

• This is a Permanent Full Time position, 7.6 hours x 5 Days a week (6am Starts)

• Provide timely, accurate and thorough information in response to customer queries and escalations through inbound and outbound customer contact.

• Be willing to dedicate your time to diagnosing freight issues in real time by inspecting and investigating freight throughout the Depot and speaking with numerous staff members on the floor

• Dedicate appropriate amounts of time daily towards office administration as well as inspecting and investigating customer freight queries on the floor and throughout the Depot

• Have a pro-active and strategic mindset to Customer Service by utilising multiple avenues towards problem solving which include liaising with staff, using technology and systems and conducting your own freight inspections to ascertain appropriate solutions

• Be proactive in repacking any freight according to customer requirements

• Following up on processing Repacks, Damaged and Unidentified Freight

• Coordinating with customers face to face who come in to collect any deliveries

As the People & Culture Coordinator, you will provide first level HR support and advice to NEXTDC; supporting the People & Culture (P&C) team across all aspects of administration, including systems and the employee lifecycle. 

As a member of the P&C team, you play a key role driving company culture. Championing the NEXTDC values, you will contribute to a positive work environment and strong employee engagement across the business. 

• Process all employee lifecycle events, including onboarding, training and compliance, changes in employment and offboarding. 

• Provide first line advice to employees, resolving & processing all enquiries 

• Set up and maintenance of P&C Systems to ensure data integrity 

•  Provide admin support for our annual P&C activities e.g.  remuneration reviews, NEXTPOLL engagement surveys etc. 

• Ensure effective delivery of P&C initiatives e.g. Recognition, Health & Wellbeing programs etc. 

• Provide timely and accurate reports to P&C team and internal stakeholders 

• Maintain the P&C Intranet pages to ensure information is up to date, including reviewing our P&C policies, procedures and documentation.

What You’ll Do   

• Load projects/contracts into the ERP and PSA toolset. 
• Load variations, sales orders, purchase orders, resource plans, and other artefacts into the ERP and PSA toolset. 
• Maintain financial records and provide regular reports on project spending and budget status. 
• Collaborate with project managers and team members to ensure that financial processes and policies are understood and adhered to. 
• Monitor project spending/WIP and ensure that invoices are processed in a timely and accurate manner. 
• Provide training and support to project teams on systems, tools, processes, and reporting. 
• Exhibit strong technical writing skills and create user guides, training materials, and documentation. 
• Provide support for audits and financial reviews, including preparation of documentation and review of findings. 
• Monitor system hygiene and follow up stakeholders for compliance.

What You’ll Bring  

You will be an exceptionally professional person who has incredible communication skills - both written and verbal. You have demonstrated Project Administration or Project Contractual/Commercial Administration and Project Financial Analysis experience, or experience in Project Delivery Coordination. You have a detailed understanding of the end-to-end Sales to Project Delivery Lifecycle. You can demonstrate a strong ability to work effectively in a very fast paced and continually changing environment and respond quickly and easily to changing demands, deadlines, and priorities. We are looking for: 

• Someone who is passionate, with great interpersonal skills and strong attention to detail. 
• IT Outsourcing Industry experience. 
• Industry standard certification and/or bachelor’s degree in finance, business, accounting, Project Management or related field. 
• At least 5 years of experience in project financial administration or a similar role. 
• Strong understanding of Project Methodologies. 
• Experience with Enterprise level ERP’s. 
• Strong understanding of financial accounting principles and budgeting practices. 
• Experience with Microsoft Suite applications, such as MS Project, Excel, Outlook, PowerPoint or similar equivalent tools.

Your key responsibilities in this role will include but are not limited to:

• Ensure office & training centre is well organised & runs smoothly.
•  Daily training room setup & breakout area amenities setup. 
• Ensure all training rooms are properly equipped & operational to conduct training courses. Allocate training rooms, arrange catering, ensure refreshments & amenities are stocked.
• Morning meet & greet of training participants and contract facilitators
• Personal Assistant duties – organise office functions/meetings, catering, venue setup, materials
• Enrolments, Reschedules, Changes – Take & process enrolments, bookings, reschedules, confirmation requests. Invoices, adjustments/credits & payments processing
• Pack & Ship Training Materials – weekly stocktake, order manuals, check, unpack & store, bind & print materials when required, add new materials as required, pack & ship to various locations
• Set-up courses accurately in the FileMaker system including ensuring all costs are recorded prior to invoices being sent to accounts, as well as raising purchase orders as required.
• Trainers - Provide any assistance as required for trainers to ensure their training day is successful including but not limited to – answer inquiries, provide advice, information, help with equipment or resolve any facilities issues

• Provide structured and proactive support to Directors and teams in the bidding process.

• Incorporate local knowledge and writing style/branding in bids to ensure brand adherence.
• Coordinate and incorporate input from bid partners, directors, technical experts and wider team as necessary, to ensure a consistent and coherent final bid against scoring criteria.
• Provide structured format and text for others contributing to bid.
• Work flexibly across the organisation to support Directors dependent on tender activity to ensure a unified and consistent approach to bids.
• Following submission of bids, extract key information from tender and manage information in-line with information management processes and following internal feedback analysis processes.
• Support best practice bid process, structure and quality.
• Support Business Development with any other activity as required.
