The Opportunity

The Project Controls Specialist plays a crucial role in ensuring the successful planning, execution, and monitoring of projects within the assigned line of business.

They are responsible for the establishment and maintenance of project control systems, including cost, schedule, and risk management. This position requires a highly analytical and organised individual with a keen eye for detail and the ability to communicate effectively with cross-functional teams.

Responsibilities will include

• Prepare project reports reflecting progress, financial and resource information, actual costs, earned value and forecasts

• Ensure all cost, schedule and risk project reporting and activities comply with company and client needs

• Support the project control functions on the project

• Quality control of timesheet management for all staff/contractors on the project and liaising with project management to ensure that timesheets are accurate and address any issues as they arise

• Collate and compile internal monthly reporting activities

• Expense tracking and forecasting

• Participation in monthly Client meetings

• Produce monthly claims

• Preparation of Change Notices and managing the project change register

• Review project program and provide summaries

• Cost control and some scheduling tasks

Qualifications & Experience

• Relevant degree in Business, Engineering or considerable experience

• 8 + years’ experience in Project Controls

• Proficiency in Cost Control concepts and tools is a must

• Knowledge of data analysis tools such as PowerBI, MS Excel etc

• Working exposure to industry standard scheduling tools such as Primavera P6, MS Project etc

• Well-developed communication and time management skills.

• Attention to detail and a commitment to data accuracy.

• Ability to work independently and in a team environment.

• Quality Assurance Goals:  Ensure product releases consistently exceed predefined quality standards, emphasizing a commitment to excellence.
• Automation: Evaluate the percentage of test automation coverage, the reliability of automated test scripts, and the time saved through automation in the testing process.
• Process Improvement: Establish and Implement process improvements, identifying efficiency gains, and staying current with industry trends.

The Event Specialist is responsible for a multitude of facets, from event planning, logistics, and sales to execution. ADMINISTRATION AND FINANCE

• Build a series of engaging and diverse events as per our event categories, Business, Community-Bonding, Entertainment and Wellness, to contribute to the growth of creative communities. 
• Working alongside the Head of Operations to set the Annual Community Events Calendar, including reporting and forecasting the total of events and the results for each quarter.
• Guide the Community Team to fill up their location’s event calendar and follow the 8-week workflow to ensure they achieve success. From brainstorming, reaching out to potential collaborators, event promotion and overseeing execution plans.
• Ensure meeting rooms are booked on the booking platform. 
• Support with creating quotes and invoices to vendors and collaborators where necessary and ensure that payments are made. 

EVENT EXPERIENCE AND OPERATIONS 

• Meet with event organisers, members or potential members to understand their needs to coordinate the team and conduct event tours to showcase the space. 
• Record and manage all event leads on the system and use the data for marketing outreach.
• Frequent onsite event support where needed, support the Community Teams to lead the events and assist in any way to ensure smooth execution.
• Liaise between the Community Teams and Marketing Team to strategise on creative events promotions to boost event reach and attendance.
• Conduct regular check-ins with each location - debrief on hosted events, advise to improve event performance and execution efficiency and offer support on upcoming events.
• Oversee and execute events on the day, ensuring every team member knows their role and when they should take breaks, every event organiser knows the run of the show, and every guest has their expectations exceeded.
• Ensure the location is ready prior to an event, including moving furniture, room layout and set-up, catering and crockery preparation, space resetting and cleanliness, etc. 
• Meet with event organisers, caterers and guests to ensure that they are familiarised with the space and have the tech set up for their event; assist with troubleshooting technical issues, equipment is set up, and wifi details are shared.
• Follow up with event organisers after the event is held to continue the relationship and gain feedback and action learnings.

SALES AND PARTNERSHIPS

• Streamline the process of private events by identifying and improving all possible touch points - from the method of receiving and collecting information, assigning to location teams, passing on for execution, and following up.
• Manage all incoming private event space rental leads and coordinate with the Community Team to confirm bookings and arrangements.
• Analyse private events sales performance on a monthly basis and work closely with the Marketing Team to create packages and promotions for private event spaces.
• Outreach in social events or related functions on behalf of our brands to attain more leads for event bookings.
• Outreach to potential partners to build up brand awareness and benefit community engagement.
• Liaise with suppliers and vendors and negotiate prices to ensure profitability with events. 
• Meet with catering suppliers to have menu options to provide guests with menus to suit various needs and occasions, i.e. standing canapes, drinks reception, lunch catering, etc. 

TECH SUPPORT

• Knowledge of all tech and AV on-site to support members and guests with set-up and troubleshooting.
  Assist with troubleshooting printers, equipment in meeting rooms, etc. and liaise with IT support if needed. 

PEOPLE

• Train new Community Team hires in event processes, planning and execution.
• Work closely with Community Teams to create best practices that help build a more robust and more thriving community.
• Manage timelines and schedules for those working events: Barista, catering, adhoc team members, community team.
• Be the go-to person between Community Teams and Marketing Team to ensure Community events and Private events are both marketed via various platforms effectively.
• Work with the Country Manager to reinforce locations to make progress with events planning on a regular basis.

• Two years experience in a customer-facing position, ideally within entertainment and events.

Responsibilities

• Assist new corporate clients with the onboarding and launch of our service across their organisation
• Build strong relationships with our corporate clients, respond to their requests and provide support across phone and email channels
• Implement account management initiatives at scale to maximise customer satisfaction, retention, renewal, and new business/upsell revenue opportunities
• Assess clients’ current level of engagement and help clients extract greater value and engagement with our service
• Proactively monitor client health and create/implement risk mitigation initiatives where necessary
• Communicate client needs and feedback back to management and the relevant teams, and suggest potential solutions
• Identify process improvement opportunities and work with cross-functional teams to address these areas effectively
• Meet client success targets and KPIs

• A positive can-do attitude and a passion for what WHEREFIT is trying to achieve
• 1+ year/s experience in client success or account management roles (preferably B2B SaaS) across phone and email channels
• Excellent presentation, written and verbal communication skills
• Strong team player with the ability to collaborate with management and cross-functional teams
• Ability to thrive in a fast-paced dynamic culture and perform under pressure
• An interest in fitness, health and wellbeing is an advantage but is not required
• Nice-to-have: experience working in a start-up environment

Your new role Manage organisational obligations and compliance in relation to the conduct of disputes under the Motor Accident Injuries Act 2017 (NSW), as well as other Regulations, Guidelines and Statutory Frameworks Exposure to disputes before the Personal Injury Commission Provide recommendations in relation to process and decision-making improvements, to enhance alignment with the Objects of the Act Review and deliver sound, timely decisions for disputes. Proactively identify systemic causes of disputes and contribute to the development of creative and beneficial solutions Foster and maintain strong stakeholder relationships, both internally and externally, including medical and allied health practitioners, rehabilitation providers, legal representatives, regulators, and cross-functionally across QBE Provide subject matter expertise and identify continuous improvement training opportunities for our business About you Experience in allied health, claims or legal background within a personal injury scheme (CTP, workers compensation, etc), and/or clinical exposure being highly advantageous Highly developed communication skills, both written and verbal, with a strong understanding and interpretation of medical terminology. Ability and initiative to make decisions and recommendations Proven ability to influence stakeholders to improve performance and achieve excellent outcomes. Proven success in driving continuous improvement initiatives, have complex problem resolution ability and business acumen. Primary Details Time Type: Full time Worker Type: Employee Location: Parramatta Permanent full-time role The opportunity This role will see you exercising a wide range of skills as part of QBE's dispute resolution process with our customers at the forefront of our mind. You will be joining a collaborative team where you will manage a portfolio of complaints in accordance with QBE's complaints management processes. Your attention to detail and commitment to improving the customer experience will also see you playing a part in identifying root causes of complaints and opportunities for improvement that would lead to a better customer outcomes. A key element of the role will involve assessing, investigating and critically analysing policies, legislation and expert evidence along with adopting a proactive, solution focused mindset to resolving customer issues. You are the final decision maker and will manage a portfolio of either External or Internal dispute resolution complaints. You will be engaging with internal and external stakeholders to manage complaint resolution requirements and outcomes - encompassing organisational, code of practice, legislative and scheme requirements. Being the final decision maker for QBE, you will be required to communicate the outcome of your decisions with customers and appropriate stakeholders demonstrating a professional and empathetic manner. Your responsibilities may also include the following: Support the delivery and execution of the Customer Relations & Advocacy strategy and business plan objectives Ensure the organisational obligations under the law and the General Insurance Code of Practice are adhered to when managing complaints and disputes Ensure organisational procedures in relation to complaints and compliance breaches are followed Provide feedback on process, product and service improvements to minimize recurrence or mitigation of issues for customer dissatisfaction Provide SME (subject matter expert) support for internal stakeholder enquiries in relation to decisions, General Insurance Code of Practice and the Insurance Contracts Act In the assessment of your complaint management obligations review and assess compliance by business units with Code of Practice and legislation Undertake timely and accurate response to all complaints and disputes, providing a fair and reasonable outcome for the customer Work collaboratively with key internal and external business stakeholders About you We are looking someone that has extensive experience within the same or a similar (Claims, Legal, Product or Underwriting) technical role and can bring with them their knowledge and passion for customer relations, advocacy and dispute resolution.
