• Monitors results and delivers optimisation recommendations to increase the effectiveness of campaigns
• Contributes to the post implementation report for each client campaign/project reporting on performance, learnings and actions
• Engages with the marketing team and client account executives to keep them up to date on client activities and resolve any queries.

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

• Manage all aspects of Talent & Culture operations, ensuring efficiency and effectiveness.
• Serve as the primary communicator, liaising with managers and staff of all levels.
• Oversee and manage Talent & Culture systems including learning management, recruitment, and filing systems.
• Provide administrative support to the General Manager, offering a unique opportunity to work closely with the Executive Committee.

To assist the Events Team in event administrative and logistical tasks, supporting mainly the Senior Event Manager Partnerships.

CAPA holds approximately 8 Global Aviation Summits a year, globally. Events vary in size from boutique (<100 pax), to mid (200-400 pax) and mega (400+ pax).

Key responsibilities:

• Exporting/importing registration data from the event management platform (Bizzabo), updating attendee lists and weekly delegate reports
• Establish event microsites (Bizzabo)
• Creating delegate badge checklists and cross-checking and assembling delegate badges
• Assistance with monitoring incomplete or ad hoc registrations
• Creating/managing delegate receipts and invoices
• Stock take of event collateral such as lanyards, badges, folders etc.
• Assist with auditing and cross-checking data across multiple lists
• Conduct speaker and website audits
• Assist with pre-event preparations such as packing, assigning event collateral to onsite CAPA staff etc.
• Establishing registration and sponsor links
• Create master slide decks on PowerPoint for each event
• Work with Partnership Manager to issue invoices and contracts, upload sponsor logos to the website, assist with sponsor deliverables
• Complete Sustainability Reporting on all events in line with Informa’s guiding fundamentals
• Volunteer management – recruit and hire of helpers for onsite tasks at events

What You’ll Do   

• Load projects/contracts into the ERP and PSA toolset. 
• Load variations, sales orders, purchase orders, resource plans, and other artefacts into the ERP and PSA toolset. 
• Maintain financial records and provide regular reports on project spending and budget status. 
• Collaborate with project managers and team members to ensure that financial processes and policies are understood and adhered to. 
• Monitor project spending/WIP and ensure that invoices are processed in a timely and accurate manner. 
• Provide training and support to project teams on systems, tools, processes, and reporting. 
• Exhibit strong technical writing skills and create user guides, training materials, and documentation. 
• Provide support for audits and financial reviews, including preparation of documentation and review of findings. 
• Monitor system hygiene and follow up stakeholders for compliance.

What You’ll Bring  

You will be an exceptionally professional person who has incredible communication skills - both written and verbal. You have demonstrated Project Administration or Project Contractual/Commercial Administration and Project Financial Analysis experience, or experience in Project Delivery Coordination. You have a detailed understanding of the end-to-end Sales to Project Delivery Lifecycle. You can demonstrate a strong ability to work effectively in a very fast paced and continually changing environment and respond quickly and easily to changing demands, deadlines, and priorities. We are looking for: 

• Someone who is passionate, with great interpersonal skills and strong attention to detail. 
• IT Outsourcing Industry experience. 
• Industry standard certification and/or bachelor’s degree in finance, business, accounting, Project Management or related field. 
• At least 3 years of experience in project financial administration or a similar role. 
• Strong understanding of Project Methodologies. 
• Experience with Enterprise level ERP’s. 
• Strong understanding of financial accounting principles and budgeting practices. 
• Experience with Microsoft Suite applications, such as MS Project, Excel, Outlook, PowerPoint or similar equivalent tools. 
• Excellent analytical and problem-solving skills. 
• Excellent communication and interpersonal skills. 
• Ability to work effectively in a fast-paced, deadline-driven environment. 
• Ability to work independently and as part of a team.
