The Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. 

About the role

• Provide general overall facility management services, including continuous monitoring of office/facility
• Address client inquiries and concerns ensuring timely and quality issue resolution and service delivery
• Follow up with clients to ensure customer satisfaction
• Respond to all facility inquiries and complaints, assess problems and take the necessary corrective action
• Coordinate with outside contractors for the service and repairs of equipment

About You

• A minimum of 1 year of work experience in an administrative, accounting or tenant services capacity
• Experience with data entry, expansive reporting, filing, answering phones, scheduling and communications
• Previous customer service experience
• Prior experience working in the facilities/property management, commercial real estate or professional services industries preferred

Your New Role

Working between our South Melbourne Head Office and our operational centre in Dandenong South, you'll deliver top-notch sales admin service to ANZ wholesale customers. You'll coordinate accounts, manage cold leads, and ensure smooth operations for the Independents team. This role is a 12 month maternity leave contract, with the potential to go permanent within other teams.

Your Day to Day

• Manage National Sales Agent Network communications.

About the Opportunity 

In this role, you will part of a collaborative and supportive sales team where you will provide daily administrative support for our National Sales Manager and Sales Director .You'll also be responsible for nurturing and maintaining strong relationships within a designated client portfolio. Key Responsibilities: 

• Collaborate closely with the Sales Director and National Sales Manager to develop and execute strategies to expand the customer base.

• Ensure the timely and successful delivery of solutions according to customer needs and objectives, and work collaboratively with internal technical resources where required.
• Educate customers on the features, benefits, and applications of our product.

• Prepare scheduled reporting on account status.
• Identify opportunities to upsell and cross-sell products based on client needs and market trends.

What You’ll Do   

• Load projects/contracts into the ERP and PSA toolset.

• Maintain financial records and provide regular reports on project spending and budget status. 
• Collaborate with project managers and team members to ensure that financial processes and policies are understood and adhered to.

What You’ll Bring  

You will be an exceptionally professional person who has incredible communication skills - both written and verbal. You have a detailed understanding of the end-to-end Sales to Project Delivery Lifecycle. You can demonstrate a strong ability to work effectively in a very fast paced and continually changing environment and respond quickly and easily to changing demands, deadlines, and priorities. We are looking for: 

• Someone who is passionate, with great interpersonal skills and strong attention to detail. 
• IT Outsourcing Industry experience. 
• Industry standard certification and/or bachelor’s degree in finance, business, accounting, Project Management or related field. 
• At least 3 years of experience in project financial administration or a similar role. 
• Strong understanding of Project Methodologies. 
• Experience with Enterprise level ERP’s. 
• Strong understanding of financial accounting principles and budgeting practices. 
• Experience with Microsoft Suite applications, such as MS Project, Excel, Outlook, PowerPoint or similar equivalent tools.
