The Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. 

About the role

• Provide general overall facility management services, including continuous monitoring of office/facility
• Address client inquiries and concerns ensuring timely and quality issue resolution and service delivery
• Follow up with clients to ensure customer satisfaction
• Respond to all facility inquiries and complaints, assess problems and take the necessary corrective action
• Coordinate with outside contractors for the service and repairs of equipment

About You

• A minimum of 1 year of work experience in an administrative, accounting or tenant services capacity
• Experience with data entry, expansive reporting, filing, answering phones, scheduling and communications
• Previous customer service experience
• Prior experience working in the facilities/property management, commercial real estate or professional services industries preferred

About the role

• This opening is for a Freight Coordinator to join our team at our Brisbane Airport Location

• This is a Permanent Full Time position, 7.6 hours x 5 Days a week (6am Starts)

• Provide timely, accurate and thorough information in response to customer queries and escalations through inbound and outbound customer contact.

• Be willing to dedicate your time to diagnosing freight issues in real time by inspecting and investigating freight throughout the Depot and speaking with numerous staff members on the floor

• Dedicate appropriate amounts of time daily towards office administration as well as inspecting and investigating customer freight queries on the floor and throughout the Depot

• Have a pro-active and strategic mindset to Customer Service by utilising multiple avenues towards problem solving which include liaising with staff, using technology and systems and conducting your own freight inspections to ascertain appropriate solutions

• Be proactive in repacking any freight according to customer requirements

• Following up on processing Repacks, Damaged and Unidentified Freight

• Coordinating with customers face to face who come in to collect any deliveries

About the Fleet Coordinator Role:

We are seeking an experienced Fleet Coordinator to join us on our friendly, fast paced and dynamic depot based in Paget, Mackay. 

You will optimise operations efficiency through effective utilisation of equipment and resources, ensuring movement of freight in accordance with schedules and time deadlines.

What you’ll do (duties/responsibilities including/not limited to):

• Co-ordinate the allocation of workloads to maximise the efficient use of all assets

• Prepare, complete and maintain daily control and allocation of PUD fleet to ensure pick-ups are in line with customer requirements

• Provide feedback to customers internal / external as required on status of pick up and deliveries

• To ensure vehicles allocated to pick up dangerous goods comply with the Australian Dangerous Good Code

• Ensure that where bulk dangerous goods are to be picked up, the driver is holder of the appropriate licence

• Ensure compliance and contribute to the on-going development of Operational procedures and documentation consistent with the Toll Management System

• At all times, ensure employees and contractors work in accordance with the established procedures and practices of the business.

Outback Spirit Tours offers a range of unique adventure tours, desert safaris and luxury short stays across our beautiful country. Our adventures capture the very essence of Australia, from the rugged red cliffs of the Kimberley to the unspoiled natural wonder of Tasmania, we bring iconic experiences to life. We operate 9 lodges in some of the most remote, inaccessible and beautiful locations. THE OPPORTUNITY

We are currently seeking a motivated and proactive Human Resource Coordinator to join the team on a permanent full-time basis. This is an office based opportunity working Monday to Friday with the flexibility to work from home on Fridays!

A valued member of the HR Operations team this is an opportunity to develop your HR career in a fast paced, challenging industry and work with a collaborative and supportive HR team.

Reporting to the Human Resource Manager, this role will provide support and assistance with the administration of the day-to-day operations of HR functions and duties. You will assist in the areas of recruitment, onboarding, learning and development, performance management, and general HR administration. You will establish and maintain high quality and timely work flow of the HR administration and coordination to enable effective performance of a wide range of HR functions, ensuring a high level of service to the team and the Outback Spirit business whilst maintaining complete confidentiality.

Key responsibilities

• Assist and support the recruitment and talent acquisition process by writing compelling job ads, advertising, reviewing and shortlisting candidates, conduct initial phone screening interviews and general candidate communications;
• Prepare contracts of employment and employment related correspondence;
• Ensure new starter documents for setting up new employees is complete and accurate;
• Provide guidance and support to leaders on onboarding and induction programs for new employees;
• Oversee probationary period reviews including audits, reminders and confirmations;
• Support leaders and employees with HR related queries in a supportive and timely manner;
• Work closely with the wider HR Team to support the businesses and collaboratively drive key HR initiatives/projects;
• Provide general support on a range of administrative and operational matters to ensure the effective running of HR;
• Provide key metric and general reporting to the Leadership team;
• Coordination and record keeping for key employee dates.

The successful candidate will have/be:

• Prior HR administration/coordinator experience;
• Experience in HRIS software and working within a HR environment, desirable;
• Strong computer skills with intermediate to advanced literacy in Microsoft Office products;
• Experience working within multiple systems which cross over;
• Experience working in hospitality/tourism business.
