About the Opportunity

Reporting to the Executive Director, Oceans. The successful candidate will provide exceptional administrative and operations support. Working collaboratively with other Focus and Enabler areas, and Corporate Services as part of our matrix structure. Including supporting the Oceans leadership team on accounting, people, recruitment, IT, and other administrative matters as required.

This role facilitates and coordinates, tracks, and prioritises a range of critical tasks and projects in support of the broader Oceans team including:

• Managing and coordinating the day-to-day operation schedules, calendars, and appointments for complex meetings, and domestic/international travel arrangements across multiple geographies and time zones.
• Coordinating team meetings, preparation of agendas, capturing action items and arranging attendance of guest speakers. 
• Managing logistics, scheduling, planning, and disseminating of materials for events, expeditions, workshops and interface with Chair and Co-Chair Offices.
• Records and data management including, but not limited to, management of Microsoft Teams pages, SharePoint site and maintaining an organised filing system.
• Management of administration and travel budget items, including overseeing expense reporting.

The successful candidate will also manage one direct report and supervise and manage the workload of Administration Coordinators responsible for planning and management of domestic and international travel, expense management, purchase requisition and invoicing support. Supporting events and meeting coordination for program heads.

• Assist the Front Office Manager to operate a highly proficient and productive Front Office and communications department of the hotel. 
• Oversee Duty Manager/Supervisors/Team leaders and Guest Service Agents duties and responsibilities in the absence of the Front Office Manager to maximize productivity levels.
• Effective supervision of all guest arrivals and departures ensuring that room allocations and check in/check out processes follow set procedures and are customer focused and tailored to each guest’s needs. 
• Full utilisation of the PMS and other systems ensuring accuracy in use and a range of accurate reports to meet operational needs are produced. 
• Undertake strategies in conjunction with the Front Office Manager to improve employee engagement leading to an increased employee engagement score and satisfaction.
• Plan and assist with recruitment, performance management and training of Front Office ambassadors.
• Maintain the security of monetary floats and ensuring cash handling procedures are strictly adhered to. 
• Liaise with Housekeeping and Engineering to ensure room standards are maintained while meeting guest expectations. 
• Adherence to Emergency Communication procedures ensuring that enquiries from the media are only responded to by the nominated spokesperson.

Life in the Business Support team:

Reporting to The Business Support Lead, this position supports our Accounts Payable function, focusing on processing and executing financial transactions, and data management in a high-volume environment.

Your role responsibilities will involve but not be limited to:

• Processing transactions efficiently and accurately on a daily basis, as well as data entry
• Ensuring compliance: certifying all transactions are processed in compliance with relevant regulations, policies, and procedures
• Conducting regular audits, implementing controls, and developing new processes and procedures
• Building strong relationships with internal stakeholders and external clients to ensure that transaction processing runs smoothly and efficiently
• Continuously improving processes, reviewing, and improving transaction-processing procedures to ensure that they are efficient, accurate, and compliant
• Liaising with the Business Lead to embed best practice across the accountable areas to enable cost analysis

The role:

As part of the role, you will be responsible for providing local end user support for the customers' technology environment which encompasses a combination of Microsoft Windows 10 Workstations, Apple Mac Devices, Chromebooks, Meeting Room Technology and Mobile Devices running both Android and iOS.

Responsibilities:

• Utilise your skills and passion for technology to solve technical issues on Windows, Apple Mac, Chromebooks, Android and iOS based devices supporting the operating systems, hardware and client side applications on these devices. Whilst we understand that you may not have had experience with all platforms, the successful candidate will be a fast learner who enjoys expanding their knowledge;
• Travel from site to site based on the schedule;
• Provide end users with training on how to better use their devices and assist them to learn something new;
• Be personable with end users developing a friendly bond with customers;
• Collaborate with your fellow colleagues to determine any processes which need improvement or can be handled more efficiently;
• Seek customer feedback on your performance and take an active approach in attempting to continuously improve these results;
• Identify problems or requests which don't have an existing process and collaborate with your peers to develop and implement one;

Qualifications, Skills & Experience

• Know your way around a computer and in particular Windows;
• Intune knowledge;
• Basic Networking;
• A solid understanding of how computers and associated peripherals work together;

The role is based at a client site in Melbourne CBD and is a full-time position.

Monday to Friday - Full Time with and early start onsite.

Reporting to the Director of Rooms, our Full Time Front Office Manager for Pullman Sydney Olympic park is responsible managing Front Office operations including guest arrival and departure, room inventory and availability, guest service standards and initiatives, loyalty recruitment, and room profitability.
