About the Role

In April 2024, we're welcoming a new Government client to our Service Desk domain and are seeking a dedicated Knowledge Specialist to complement our team!

This role entails overseeing the knowledge base for a designated functional area within Datacom. Responsibilities include crafting and refining content related to Datacom services, such as manuals, help systems, online tutorials, installation guides, and quick reference materials, utilizing various software tools and system components. Additionally, the Knowledge Specialist will play a pivotal role in advancing our Knowledge Management framework, spearheading projects, and ensuring the organization's information needs are promptly and effectively addressed.

Preferred location: Victoria

Please note that Australian Citizenship is required and willingness to obtain a baseline clearance (ability for future Negative Vetting 1 clearance is required).

What you’ll bring:

About the role

A DAY IN THE LIFE OF

The Event Specialist is responsible for a multitude of facets, from event planning, logistics, and sales to execution. You will be the ambassador of our brand, the driving force behind the events programme, creating unique experiences for our target audience, our members and the greater Flexi Group community.

We are looking for a fun-loving, highly energetic and organised individual who is passionate and has an entrepreneurial mindset to drive business.

This individual will oversee multiple events across our spaces from start to finish, going above and beyond to ensure weekly and monthly events run smoothly.

ADMINISTRATION AND FINANCE

• Build a series of engaging and diverse events as per our event categories, Business, Community-Bonding, Entertainment and Wellness, to contribute to the growth of creative communities. 
• Working alongside the Head of Operations to set the Annual Community Events Calendar, including reporting and forecasting the total of events and the results for each quarter.
• Guide the Community Team to fill up their location’s event calendar and follow the 8-week workflow to ensure they achieve success. From brainstorming, reaching out to potential collaborators, event promotion and overseeing execution plans.
• Ensure meeting rooms are booked on the booking platform. 
• Support with creating quotes and invoices to vendors and collaborators where necessary and ensure that payments are made. 

EVENT EXPERIENCE AND OPERATIONS 

• Meet with event organisers, members or potential members to understand their needs to coordinate the team and conduct event tours to showcase the space. 
• Record and manage all event leads on the system and use the data for marketing outreach.
• Frequent onsite event support where needed, support the Community Teams to lead the events and assist in any way to ensure smooth execution.
• Liaise between the Community Teams and Marketing Team to strategise on creative events promotions to boost event reach and attendance.
• Conduct regular check-ins with each location - debrief on hosted events, advise to improve event performance and execution efficiency and offer support on upcoming events.
• Oversee and execute events on the day, ensuring every team member knows their role and when they should take breaks, every event organiser knows the run of the show, and every guest has their expectations exceeded.
• Ensure the location is ready prior to an event, including moving furniture, room layout and set-up, catering and crockery preparation, space resetting and cleanliness, etc. 
• Meet with event organisers, caterers and guests to ensure that they are familiarised with the space and have the tech set up for their event; assist with troubleshooting technical issues, equipment is set up, and wifi details are shared.
• Follow up with event organisers after the event is held to continue the relationship and gain feedback and action learnings.

SALES AND PARTNERSHIPS

• Streamline the process of private events by identifying and improving all possible touch points - from the method of receiving and collecting information, assigning to location teams, passing on for execution, and following up.
• Manage all incoming private event space rental leads and coordinate with the Community Team to confirm bookings and arrangements.
• Analyse private events sales performance on a monthly basis and work closely with the Marketing Team to create packages and promotions for private event spaces.
• Outreach in social events or related functions on behalf of our brands to attain more leads for event bookings.
• Outreach to potential partners to build up brand awareness and benefit community engagement.
• Liaise with suppliers and vendors and negotiate prices to ensure profitability with events. 
• Meet with catering suppliers to have menu options to provide guests with menus to suit various needs and occasions, i.e. standing canapes, drinks reception, lunch catering, etc. 

TECH SUPPORT

• Knowledge of all tech and AV on-site to support members and guests with set-up and troubleshooting.
  Assist with troubleshooting printers, equipment in meeting rooms, etc. and liaise with IT support if needed. 

PEOPLE

• Train new Community Team hires in event processes, planning and execution.
• Work closely with Community Teams to create best practices that help build a more robust and more thriving community.
• Manage timelines and schedules for those working events: Barista, catering, adhoc team members, community team.
• Be the go-to person between Community Teams and Marketing Team to ensure Community events and Private events are both marketed via various platforms effectively.
• Work with the Country Manager to reinforce locations to make progress with events planning on a regular basis.

EXPERIENCE AND REQUIREMENTS

• Two years experience in a customer-facing position, ideally within entertainment and events.
• Personable with strong verbal and written communication.
• Exceptionally organised with the ability to multitask.
• Thrives under pressure and is solution-oriented.
• Reliable, self-driven, with the ability to work with teams and independently.
• University Degree in Events or a related field is an advantage.

Ensure each and every candidate who goes through the interview process @ Easygo has a positive experience, and is updated and given constructive feedback throughout the process.
Draft and utilise templates for TA communications, such as application received messages, knockout notices, interview requests, rejection emails, and offer letters.
Manage candidate expectations and engage talent throughout the hiring process

What you'll bring:

You’ll bring with you significant experience as a Technical Recruiter, either in-house or with a mix of internal and agency.
Experience of engaging with and sourcing candidates across a range of sectors.
You’ll have worked supporting a Technology business units or within a Tech organisation, having networks and subject matter expertise across Development and Product talent markets.
You’ll know how to identify what needs to be done first and be able to prioritise and manage your time effectively, and are transparent in the way you work.
You’ll enjoy problem solving and enjoy the various challenges that come with a fast-paced and evolving organisation.
As a strong communicator, you enjoy dealing with various stakeholders and are open to learning new industries and new technology.
An ability to write creative job advertisements and assist with occasion website content.
A positive mindset when faced with challenging requirements and situations.
Contribute to our social media presence through positive posts on either LinkedIn or Instagram.
Bonus points if:

A bachlors degree in any line of work is desirable but not required.
Any IT related certifications such as Scrum Master, Project Management or Cloud certifications would be looked upon favouably
Any extra curricular activities such as appearing on talent related podcasts or speaking at meetups would also be looked upon favourably.
Strong written and verbal communication skills.

Reporting to the Plant Manager, the HSE Specialist will provide health, safety, environment, government and community relations support to our quarry and processing plant operations to create long -term value for our operations in Traralgon and Buchan. This role works with plant employees, leadership and corporate office stakeholders to influence real outcomes that ensure our workplaces are safe, sustainable, compliant and supportive of local community needs. This position will: Facilitating safety risk management including helping others to identify hazards, assess risks, implement controls, maintain housekeeping standards and ensuring actions are taken to address any gaps. Keeping abreast of the latest PPE technology and ensuring staff have access to appropriate PPE. Running incident and action management, making recommendations and driving completion of associated corrective actions. Coordinating the reviews of site safety procedures and controlled documents as required. Facilitating injury management, medical surveillance and return to work programs and responding to work cover investigations. Facilitating environmental risk management including helping others to identify issues, assess risks, implement controls, maintain housekeeping standards and ensuring actions are taken to address any gaps. Ensuring site environmental licenses and permits are in place and renewed in time, with support from HSE Manager where needed. Conducting environmental audits and regular sampling/monitoring such as water, noise, and dust monitoring. Ensuring completion of periodic statutory reporting, to be reviewed by HSE Manager prior to submission. Coordinating response to stakeholder complaints and ensuring associated corrective actions are completed within required timeframes. Developing and coordinating site rehabilitation. Supporting stakeholder engagement activities, including community meetings, sponsorships, and site involvement in community initiatives and events. Supporting the site manager to proactively engage with regulators, local Council, neighbours and other key stakeholders in line with Graymont values.
