About the Opportunity 

We are seeking a highly motivated Senior Executive Assistant to provide hands on support to the CEO and COO and overarching support to the Executive Leadership Team on a daily basis. This role will be instrumental in ensuring our leadership team are accountable, focused and organised throughout the year.

Given the requirement to work and collaborate across multiple time zones, there may be the need for this role to work outside of ordinary business hours from time to time. 

You will be given responsibilities in upcoming exciting and new projects and will also have the opportunity to lead the transition into a brand-new office space. 

Key Responsibilities: 

• Manage CEO/COO schedule and agenda, identifying priorities and deadlines and finding solutions to maximise efficiency and time. 
• CEO/COO diary and inbox management, including ad hoc errands as required 
• Set up meeting rooms, arranging for technology, equipment and catering to be provided. 
• Minute taking for domestic and global meetings, preparing action items, and distributing materials to meeting attendees 
• Assist in the preparation and circulation of agendas, presentations and papers for Board and Committee member meetings 
• International and domestic travel and itinerary planning for CEO/COO and Executives 
• Organise and coordinate company and social events, including venue, and catering 

• Be the point of contact for and liaise with building management to coordinate office and building related facilities  
• Build strong rapport with internal and external stakeholders 
• Manage company vehicle bookings, tracking employee use and maintenance requirements 
• Preparation of corporate documentation such as memos, letters and invoices 
• Coordinate with Marketing Partner to support communications across company social media accounts 
• Assist with administrative tasks associated with the onboarding and offboarding of employees 
• Create and maintain company distribution lists and update as workforce changes 
• Office supplies ordering and general office management/coordination responsibilities as and when needed (up to and including light tiding duties of meeting rooms and shared spaces).

• Step into the role with a deep understanding of upholstery and soft furnishings textiles.
• Be accountable for professional and long term relationships with suppliers.
• Develop a deep understanding of your supplier’s capabilities (e.g. materials, costs, lead times), to ensure alignment with current and future business needs.
• Coordinate all aspects of textile sampling and ensure adherence to sample budgets, arrange supplier payments, and coordinate sample shipping. 
• Be responsible for sample and bulk production ordering and tracking.
• Coordinate and lead sample development reviews.

• Take ownership of the timeline by influencing key stakeholders across teams throughout the development cycle to ensure all products remain on track to brief and timelines.

• Drive profitability by negotiating the best prices for new textile developments.
• Work closely with suppliers to develop products that meet our sustainability goals.  
• Be responsible for ordering  test samples and submitting to 3rd party test facilities.
• Work alongside the QC team with regards managing supplier due diligence and product quality expectations.

Role Overview:

As a Graduate Human Resources Officer, you will play a fundamental role in supporting various HR functions within The Yiros Shop. Reporting to the General Manager, you'll be an integral part of the team, contributing to the implementation of HR policies and practices while gaining hands-on experience across multiple HR disciplines.
