I am currently partnered with a large production company 3.5hrs west of Geelong to recruit an experienced Executive Assistant to provide confidential administrative support to the Manager, in a permanent ongoing capacity. Your new role As the Executive Assistant, you will be providing confidential administrative services to the Manager, in a full-time, on-site capacity located 3.5hrs west of Geelong CBD. The core responsibilities of the Executive Assistant include:
Manage the Management administrative functions to provide a high standard of support to the Manager and reporting staff
Co-ordinate and formulate the necessary management and department reporting requirements in a manner that achieves internal and external customer needs and time frames.
Contribute to efficiency and cost-effectiveness by ensuring allocated/required projects are accomplished by co-ordinating internal and external resources for special and ongoing projects
Optimise the effectiveness of Managers' time by developing and utilising other systems and managing department scheduling requirements
As the Executive Assistant, you will liaise with internal Managers, Supervisors, Group Leaders and Departments as well as external customers. Further responsibilities include:
Organise travel and accommodation requirements for local, interstate and overseas conferences, workshops and seminar activities for the Manager
Co-ordinate and provide reports, presentation material and statistical data to meet Manager's requirements by making use of appropriate word processing, spread sheet and graphical computer systems
Act as principle contact in the absence of the Manager and use a high level of judgement in responding to customer requirements on their behalf
Coordinate the leave roster of all Managers on site
Ensure Manager's visitors to the site are suitably cared and catered for
Manage mobile phone usage and database for all company mobiles
Provide appropriate statutory data required and manage processes to comply with licencing requirements with external governing bodies
Responsible for recognising the need for additional computer requirements, organising the purchase of PC's for the area, recognising and organising the training for users and remain POC for troubleshooting and information
Take ownership of the Administration Records Management System
What you'll need to succeed To succeed as the Executive Assistant, you will need:
Relevant Business qualifications
Previous extensive experience in a similar role (Executive Assistant, Personal Assistant, Senior Administration Support)
Experience and knowledge of computing systems and applications, including Outlook, Word, PowerPoint and Excel
Exceptional communication, both written and verbal with experience producing reports and/or presentations
Demonstrated experience working within a confidential environment
A high level of drive, motivation and exceptional time management skills
