The Assistant Workplace Manager plays a pivotal role within our Workplace Management Services Team on site with our client partner. This role works closely with the Workplace Manager and National Workplace Manager to ensure the delivery of exceptional tenancy support and uphold the highest standards of workplace efficiency and productivity. This position requires a proactive approach to service delivery, ensuring client satisfaction while adhering to service level agreements and key performance indicators.

• Supervise the delivery of Workplace Support services with particular focus on space management, meeting room use and space presentation
• Deliver best-in-class Client and Employee workplace experiences
• Oversee Help Desk operations including Access Card management, locker allocation, and Environment Health and Safety compliance
• Maintain the presentation and cleanliness of the tenancy
• Ensure the delivery of contracted Workplace services in line with SLAs/KPIs.

The opportunity:

We are sourcing an Executive Assistant to join our collaborative team at AIA in Melbourne – St Kilda Road. The successful candidate will provide efficient and effective executive administrative support to two ExCo members. This opportunity would suit an experienced EA who has worked in a similar environment within financial services or insurance and has exceptional organisation skills.

To be successful in this role you will:

• Provide comprehensive diary management including scheduling appointments, meetings, travel and logistics

• Prepare draft correspondence, printing and compiling presentation packs

• Proactively anticipate needs and ensure the executives have all the required documents in advance of meetings

• Provide key support to two Exco in the delivery of business objectives

• Facilitate general invoicing and expense management

• Organise travel and accommodation bookings, in line with the AIAA policy

• Contract management, including arranging review and execution of contracts

• General office duties and provide additional support to the team if required.

What you’ll do

This is your opportunity to be a big part of something big by supporting our global CEO so that every day runs as smoothly as possible. Your day-to-day will be varied but some of what it will entail includes:

Based in the Melbourne CBD office this sought after role presents you with a fantastic opportunity to utilise and further enhance your strong administration and interpersonal skills.  Supporting the Victorian based Tenant Advisory team, you will actively collaborate with our teams nationally on a variety of initiatives to accelerate and celebrate the success of our teams and clients alike.

Some of your key responsibilities will include:

• Provide secretarial and administrative support to the Head of Tenant Advisory and several senior operatives within the team
• Diary & email management - ensure appropriate times are provided for meetings and work in progress, monitor email messages, maintain National Director’s to-do list and prioritise/action accordingly
• Assist in the production of marketing materials – submissions, marketing briefs, client case studies, bi-monthly updates, quarterly newsletters, social media tiles etc.
• Maintain accurate records of business plans, budgets and financial reports in confidential manner
• Coordinate travel and accommodation bookings where necessary and recovery of expenses from clients where appropriate
• Working with Agent’s to co-ordinate the collations of reports, submissions and other documentation.
• Coordinating and participating in team meetings.
• Update company database, including listing information, and uploading to website as required or requested by operators to ensure that client and property information is accurate.
