The Workforce Specialist at Alternaleaf will manage the contractual obligations of our team of 100 independent contractor doctors. This role involves enforcing performance standards, ensuring availability, maintaining contract inputs to guarantee clear Service Level Agreements (SLAs) and adherence to standards, and working with People and Clinical Support teams on performance management of doctors. You will work both individually with doctors and collectively, with a team of specialists to build a best-in-class cohort management system. 

Key Responsibilities:

• Contract Management:
  • Oversee and manage the contractual obligations of independent contractor doctors
  • Ensure all contracts are up-to-date, compliant with regulations, and accurately reflect the terms of service
  • Maintain clear and concise records of all contractual agreements and modifications
• Performance Standards:
  • Enforce performance standards and availability requirements as per the contracts
  • Develop and implement mechanisms to monitor and evaluate doctor performance against SLAs
  • Identify and address any non-compliance or performance issues promptly
• Operational Stream Responsibilities:
  • Work within the wider doctor team to support operational efficiency and effectiveness
  • Manage all non-clinical responsibilities related to the independent contractor doctors
  • Collaborate with other operational teams to ensure seamless integration of services
• Workforce Management:
  • Build and maintain a best-in-class contingent workforce management solution
  • Develop clear dashboards for monitoring doctor performance and availability
  • Find innovative ways to surface performance data to doctors for self-regulation and improvement
• Data and Reporting:
  • Develop and maintain dashboards to monitor and report on key performance indicators (KPIs)
  • Provide regular reports to the Head of Doctors and other relevant stakeholders
  • Use data insights to drive improvements in performance and adherence to SLAs
• Collaboration and Communication:
  • Work closely with the Head of Doctors and other team members to ensure alignment of goals and objectives
  • Communicate effectively with independent contractor doctors to clarify expectations and provide feedback
  • Foster a collaborative and supportive environment within the doctor team
• People and Clinical Support Coordination:
  • Work with the People team and Clinical Support teams to terminate and offboard doctors who are not meeting performance standards
  • Ensure a smooth transition and maintain clear communication during the offboarding process
• Team Collaboration:
  • Be part of a team of contract administrators working collectively to build a best-in-class cohort management system
  • Collaborate with fellow contract administrators to share best practices and standardise processes
  • Contribute to team meetings and strategy sessions to enhance overall contract administration and doctor management
• Continuous Improvement:
  • Stay abreast of industry best practices in contract administration and workforce management

KEY DUTIES:

The People & Culture Administrator will be driven by a shared inbox where employee queries are centralised.

Your P&C Central Manager will distribute queries to be attended to, along with ad-hoc requests by the P&C team. You’ll also be assigned a Publicis Groupe P&C project, where you’ll form part of a CREW working on exciting and interesting generalist work. 

Employment Relations

• Working as part of the P&C Central, attend to employee queries e.g. pay, policy, leave, system access etc.

• Escalate any intricate queries to P&C Central Team Leader and/or P&C Advisor as relevant

People Processes

• Follow relevant P&C processes to ensure a streamlined approach across all agencies

• Craft documents and save employee files for people processes such as Parental leave, Probation period, Salary increases, Promotions etc. - providing to agency P&C teams as required 

Onboarding and Offboarding

• Own administrative process for new starters including contract generation, employee files, input into relevant systems and platforms and working with Experience and IT teams

• Own administrative process for internal transfers across the Groupe locally and globally

• Own administrative process for leavers including obtaining resignation letters, advising payroll and ensuring reconciliation between leave and timesheets

Systems, Reporting and General Administration 

• Assists with the reporting such as; WGEA, CSR, internal audits, industry salary surveys etc.

• Provides accurate and timely administration support (including contract generation) to the P&C team

• Action relevant tasks as requested by agency P&C team (distributed by P&C Central Manager)

• Ensure all necessary databases including Career Settings is updated with 48 hours of any changes

Visa and Immigration

• Escalate immigration questions from employees to P&C Central Manager

• Support on ad-hoc immigration requests as directed by the P&C Central Manager

P&C Team

• Contributes to the culture of the People and Culture team

• Provides support on assigned Publicis Groupe projects

• Delivers on all necessary timelines

• Is proactive on the projects, providing ideas and suggestions

YOUR EXPERIENCE:

• A keen interest in working and growing your career in People & Culture 

• Well-developed computer experience across Microsoft Office Suite e.g. Excel, Office 

• Experience in a HR/Office Administrator or Data Entry role is advantageous but not required

• Experience working with a HRIS is advantageous but not required 

• Strong written and verbal communication skills with the knowledge of how to handle highly confidential information and treat employee data with discretion

• Experience following clear process flows and adopting a streamlined approach to tasks
