This is an exciting role with lots of variety from reception duties to facilities and events responsibilities. You will work closely with Business Support Manager and the wider team each day as well as assist the Human Resources, Talent Acquisition and Credit Services teams regularly.

What you'll be doing

• General reception duties, meeting room and VC set up
• Diary management and adhoc administration
• Maintaining security access system and reporting – training provided
• Liaising with suppliers and raising PO's for payments
• Assisting in regular internal and external events
• Assisting the Business Support Manager
• Working with all levels of the business across multiple offices

Our reception/administrators are the first point of contact for our families. They are essential in being a reliable source of information regarding our services.  

Duties include (but not limited to): 

• Meeting and greeting families 
• Answering phones and making appointments 
• Outlook email inbox management 
• Creating invoices  
• HiCAPS and Medicare payments 

• NDIS Funding 
• Entering and scanning client data and documents 
• Basic office maintenance including tidying and cleaning 

Skills and experience 

Essential Criteria: 

• Allied Health Administration/Reception experience 
• Familiarity with Microsoft Teams and Excel 

• Calendar management 
• Impeccable time management skills 
• Ability to prioritize workload 
• High computer literacy skills 

• High level of attention to detail 
• Effective communication skills 
• Ability to efficiently multitask and handle ad hoc duties as they arise throughout the day 
• First Aid Certificate, WWC Check, NDIS Worker Screener and Police Clearance (or must be willing to get) 

Desirable Criteria: 

• Power Diary Experience 

• Completion of Medical Reception course highly regarded 

Hours: This is a casual position, 21 – 30 hours per week, weekdays only, with a view to permanent employment. Leave cover also available. 

Training: Position to commence in January 2024, full training provided. 

Location: This position is based in Joondalup, however on the odd occasion, you may be asked to be able to cover shifts at our Wembley premises when needed. 

Salary: This is a level 3 medical reception position. Salary will be discussed at the interview stage.

This position is responsible for ensuring the daily coordination of the Housekeeping operations and that the department achieves the highest level of service delivery through effective communication and follow up.

What are your Primary Duties?

• Prepares the morning reports showing occupied, vacant, departures and out of order rooms for the Housekeeping Department. Allocates work fairly and in line with procedures.
• Undertake all administrative duties as directed which will include and is not limited to, preparing / updating rosters and team schedules, preparing purchase orders and store requisitions, processing invoices, department policy updates, data entry and general correspondence.
• Assist facilitating the smooth running of the department through adequate supply of materials, equipment and guest and cleaning supplies by means of weekly store requisitions.
• Maintain and update administrative data
• Prepares morning work sheets for Housekeeping Attendants, Housepersons, Public Area Cleaners and contracted Housekeeping Attendants if on site.
• Answer all calls directed to Housekeeping
• Follows written and verbal directions from the Executive Housekeeper.
• Maintain a professional relationship with all Housekeeping team members as well as other departments.
• Liaise, communicate and coordinate with all operational departments to assist in ensuring all internal and external guest requirements are met and the appropriate departments are informed.
• Maintain a logical and up-to-date filing system and archive directory in order to provide for an efficient operation of the Department.
• Assist the Housekeeping Supervisors/Team Leaders in servicing and/or checking of guest room and public areas when required, as per procedures, to achieve Hotel standards.
• Draft and distribute Housekeeping meeting minutes as required.
• Assist with the management of the hotels’ Policy and Procedure register.
• Any other duties assigned by Housekeeping Management.
