We are seeking to recruit a proactive and exceptionally organised Personal Assistant to support the National Director and several sales, leasing and advisory operators within our Healthcare & Retirement Living team who are based in Brisbane & Sydney. Key responsibilities will include:

• Diary management along with monitoring email messages and prioritising/actioning accordingly
• Assisting the National Director with managing personnel-related activities and corporate initiatives, including scheduling sales meetings and circulating internal correspondence
• CRM database management and creation of reports for data tracking
• Preparation of client correspondence, submission documentation and presentations
• Preparation of expense claim forms and credit card statements
• Track campaigns, manage schedules, and oversee settlement processes
• Billing and invoicing of clients, including commission invoices, marketing quotes and advertising expenses for subject properties ensuring all documentation is compliant for auditing requirements
• Arrange and coordinate successful client and staff events and functions

About the Opportunity:

The Team Assistant position is a genuine office all-rounder role, where you are responsible for the smooth functioning of the office on a day-to-day basis, including ensuring a safe work environment, and providing administrative support to the executive team and other team members as required.  Reporting to the Chief Operating Officer (COO) you are responsible for variety of responsibilities, including:

• Manage front office activities, such as greeting visitors, managing phone enquiries, distributing correspondence.
• Office supplies & logistics: Organise couriers, manage office supplies, and process leave requests.
• Travel & accommodation: Book travel and accommodation arrangements for the team as required.
• Vendor management: Manage external vendor accounts and ensure timely payments.
• Accounting support: Manage corporate credit cards, process invoices, and data entry
• Executive support: Provide administrative support to senior executives, including diary management and document preparation.
• Investment team support: Offer administrative support to the Investment team.
• HR support: Assist with various HR tasks, including onboarding and offboarding processes.
• Office upkeep: Ensure a safe, clean, and comfortable work environment for the team.
• WHS representative: Be the first point of contact for WHS matters, conduct safety audits, and ensure compliance with WHS regulations.
• Office refurbishments: Coordinate and oversee office refurbishments and renovations as required.

What you’ll need to succeed:

• Appropriate experience in office management or a relevant discipline.
• Great organisational and time-management skills.
• Strong verbal and written communication skills including the ability to write reports and prepare presentations.
• Demonstrated ability to engage positively with internal and external stakeholders.
• Great attention to detail and accuracy.
• Proficient in Microsoft Office suite (Word, Excel and PowerPoint. Outlook) 
• Problem solving and ability to think outside the box.
• Self-starter, keen and able to work off own initiative.
