Based in our Sydney CBD office, this is a fantastic opportunity to join one of our highly successful Valuation & Advisory Services teams in an administrative support role. You will provide comprehensive administrative support to the team to ensure detailed, accurate and structured reporting for clients is maintained.

Building on your strong communication and relationship building skills, you will engage with the team on a regular basis throughout the day as you perform a variety of administrative tasks.

Some of your key responsibilities will include:

• Assisting your team to prepare, process and publish reports and other documents to a high standard.
• Assisting your team to create appointment letters, submissions and other client engagement documents.
• Preparation of expenses, invoices, and payment requests.
• Maintain accurate fee forecasting & coordinate the timely collation of other financial data relating to the team.
• Liaise with senior stakeholders within the business.

• Hands on management of food service operations on a day to day basis across all kitchen outlets.

• Ensure the highest possible standard of hygiene is practiced and maintained by the entire Kitchen brigade to meet Health & Safety regulations and HACCP food preparation guidelines.

• Accountable for the cleanliness and maintenance of all equipment, counter tops, and shelves, entering work orders for any area and equipment in need of repair.
• Assist the Executive Chef and Executive Sous Chef and Sous Chefs update Recipe Standards and develop new menus and concepts.
• Assist the Executive Chef and Executive Sous Chef and Sous Chefs develop, maintain and update operating procedures and systems.
• Responsible for the day to day, on site operations of the kitchen.
• Cultivate a positive work environment where learning and personal development are benchmarks by which quality improvement is driven.
• Work closely with the Food & Beverage Management and Supervisors and to meet food and beverage operational objectives.
• Co-ordination of the stewarding team to meet the kitchen’s requirements.

THE OPPORTUNITY

We are seeking a professional, proactive Personal Assistant to join our business. This is a role for someone who is eager to apply their existing skill set by supporting management with a wide range of administrative support duties. By providing on-going administrative support to the partner and wider team, you will be a highly valued member of the business.

Reporting to the Partner of Lumina the Personal Assistant plays a vital role within the business, also providing professional support to the Head of finance, outsourcing directors and technical teams with a range of administrative and professional services to Lumina clients.

Key responsibilities:

• Assisting the partner with all diary management, ensuring the use of priotisiation, organisation and strong proactiveness.
• Ensure all meetings, appointments and travel arrangements are scheduled efficiently and accurately.
• Scheduling and monitoring the partners weekly, monthly and quarterly check in’s, cross referencing with the team’s tracker to provide visibility.
• Assistance and support to the outsourcing team, supporting with the scheduling of annual performance reviews.

Financial

• Assisting with all aspects of billing and client debtor management.
• Assisting team members to enable good budget performance and Identify cost savings where appropriate.
• Assistance with drafting and lodgement of tax documents to the ATO and the ASIC.
• Compiling of company statements, drafting of solvency resolutions, finalising for review and client signatures.
• Compilation of income tax returns for client signatures when required.

HR related tasks

• Organising and scheduling of necessary training courses across the wider team, ensuring all training sessions are accounted for and informed of.
• Maintenance of Partner leave calendar ensuring all is communicated with necessary management.
• Request client employee background checks when required.

Client relationship

• Maintaining clear, professional and respectful communications with clients.
• Ensuring full confidentiality throughout all transactions within this role.

• Ability work within a high volume and fast paced environment, managing conflicting schedules.
