Primary Role Purpose
The primary purpose of the TA/EA is to support the Stakeholder Engagement Team to maximise their effectiveness. The TA/EA is the 'go to' person who is able to facilitate and action the Stakeholder Engagement Team's needs, assisting them to get their jobs done efficiently and productively.
This is a cross-organisational role, and you will know how everyone operates and will support the smooth integration of work between and across teams. You will play a pivotal role in problem-solving, strategic support, and representing the Stakeholder Engagement Team.
Diary Management
Manage and co-ordinate complex diaries of the Stakeholder Engagement Team, having regard to the stakeholder landscape and obligations and, where appropriate, ensuring the team has the necessary materials to prepare for meetings. This will include booking meeting rooms and catering as well as ensuring the Stakeholder team members have prepared briefing documents and any other research information required for their meetings.
Travel
Manage the travel and accommodation arrangements for all the Stakeholder Engagement Team, with due consideration for the known interdependencies of various schedules.
Be responsible for reviewing and optimising the travel policy and documented procedures.
Prepare detailed and up to date itineraries for complex trips undertaken by the Stakeholder Engagement Team and Executive
Administration
Manage the document flow to and from the Stakeholder Engagement Team ensuring that incoming correspondence requiring a response is actioned in a timely manner, and that the correspondence submitted for sign off is of a professional written standard.
Assist the Stakeholder team to maintain accurate CRM records for stakeholders, external contacts and events and proactively capture relevant information.
Document insights, minutes and actions from live and in-person internal and external meetings, roundtables and events.
Assist with any Workforce plan or submission deadlines where the Stakeholder team requires your assistance in proof reading, editing or collating information.
Assist in creation of internal briefing and agenda documents needed on general information of events, organisations and stakeholders.
File Management of all documents within the Stakeholder team "shared drive" to be maintained and kept structured and in order.
Collaboration Management
Assist the Stakeholder team by organising and executing high priority stakeholder consultation meetings, and assisting the Director, Stakeholder Engagement to host meetings and events with our members (unions, employers, and industry associations).
Ensure effective communication and operational management.
Develop PowerPoint Slide Decks for the team when required.
Engage with venues (for face-to-face events) and manage the communication of logistics and event details.
Manage shared email inboxes.
Manage team members' reimbursement claims and credit card reconciliations.
Draft correspondence (under guidance of relevant Directors).
Screen and triage emails as appropriate.
