Record Management Intern - Internship

POSITION OVERVIEW:

As an intern in our organisation, you will be responsible to contribute to the ongoing effort of digitalisation existing processes and implementing business process automation using Microsoft 365 and Power Automate. Your primary goal will be to streamline and optimize our workflows, improve efficiency, and enhance productivity across various departments. This internship will provide you with valuable hands-on experience in digital transformation and automation technologies.

JOB DESCRIPTIONS:

1. Assess Current Processes: Collaborate with departmental teams to understand and document existing processes, workflows, and pain points across distinct functions within the organisation.

2. Identify Automation Opportunities: Analyse the gathered information to identify potential areas for automation and digitisation. Propose solutions that leverage Microsoft 365 and Power Automate to streamline operations, reduce manual efforts, and enhance overall efficiency.

3. Solution Design and Development: Work closely with stakeholders to design and develop automated workflows and digital solutions using Microsoft 365 and Power Automate. Configure and customize the platform to meet specific business requirements

4 Process Mapping and Documentation: Create process maps, flowcharts, and detailed documentation for the automated workflows, ensuring that all steps are clearly defined and easy to understand.

5. Testing and Troubleshooting: Conduct thorough testing of the developed workflows to ensure their accuracy, reliability, and functionality. Identify and address any issues or bugs that may arise during the testing phase

6. Deployment and Training: Assist in deploying the automated processes and workflows to the relevant departments or teams. Provide training and support to end-users to ensure a smooth transition and adoption of the new automated

7. Monitoring and Maintenance: Monitor the performance and effectiveness of the implemented automation solutions. Address any system errors or performance issues promptly and proactively suggest improvements when necessary.

8. Collaboration and Communication: Collaborate with cross-functional teams and maintain effective communication channels to gather feedback, address concerns, and continuously improve the automated processes.

Qualifications:

  • Currently pursuing a degree in computer science, information systems, or a related field.
  • Familiarity with Microsoft 365 and Power Automate is preferred.
  • Strong problem-solving skills and analytical thinking.
  • Excellent attention to detail and ability to work independently.
  • Effective communication and interpersonal skills to collaborate with stakeholders at all levels.
