THE ROLE: PROJECT COORDINATOR

THE WORLD OF is seeking a full-time Project Coordinator to support the delivery of projects and agency operations.

The Project Coordinator will bring a passion for creativity, design, quality, and detail to the role, working closely with project teams, contributing to all stages of projects. This role will influence and become an integral part of the reputation of THE WORLD OF as an agency that is unrelenting in its commitment to original creative, design and detail.

RESPONSIBILITIES:

• Support the management and delivery of small-large scale projects for highly discerning global and local clients with creative, design and production standards that set new benchmarks within the market each time.
• Coordinate and manage the aspects of a project you are responsible for to ensure outcomes are delivered, producers are supported, and client expectations are surpassed.
• Maintain strong, professional, and effective communication with stakeholders, suppliers, and clients to build positive relationships.
• Fostering client relationships throughout all stages of the project to ensure clients’ expectations are exceeded, and all deliverables are achieved.
• Manage project budgets to meet the profit targets and required financial outcomes.
• Support the creative, design and production deliverables and timelines to ensure the concept and design is executed to THE WORLD OF standard.
• Support in the research and development of client proposals including proposal documentation, budgeting, feasibility, and sourcing.
• Working collaboratively to support the Director, Creative Director and Head of Projects and Head of Production as needed.
• To source, brief, liaise with and manage suppliers on and build strong and positive relationships to maximise value and outcomes.
• Contribute ideas and strategies to continually innovate and evolve the way in which we produce projects for greater efficiencies and outcomes.
• Support the project team on a day-to-day basis ensuring deliverables are met.
• Support on multiple projects at a time across all aspects of client management, production management, budget management and final delivery.
• Develop, drive and meet project timelines.
• Develop schedules, briefings and onsite documentation.
• Support on the onsite delivery final execution to the THE WORLD OF standard.
• Within the agency, the team is required to be available to work all days and nights when an event is on, excluding times when annual leave has been approved.
• Provide administrative support to the Office Manager and team.
• Contribute to a positive and collaborative team culture.
• Champion the agency’s sustainability code.

The Ticketek Partnerships Executive is responsible for supporting the day-to-day delivery of our brand and affiliate partnerships, as well as growing digital ancillary revenue streams.

About the role

• Support Partnerships Director (AUNZ) on the day-to-day management and delivery of our brand and affiliate partnerships:
• Assist in collateral development for program reviews
• Assist in the development of marketing schedules to support partnership programs
• Assist in the development of digital campaigns to support partnership programs
• Manage the booking & delivery of marketing commitments – booking and scheduling activities across relevant teams and channels
• Assist in collating reporting metrics – collating campaign reports + other key metric reports as defined in the contract
• Attend partner WIPs + QBRs
• Manage a contractual commitments ledger for key partnerships
• Assist in obtaining offers and promotions for the affiliate partnerships – liaising directly with promoters, venues and producers
• Manage and grow affiliate and ancillary revenue streams: -
• Manage the Impact Network
• Weekly internal reports
• Monthly invoicing
• Identifying and onboarding new affiliates to the network
• Creating collateral to promote the benefit of the network to internal and external stakeholders
• Manage Ancillary revenue streams
• Manage Souvenir Tickets + Upsell opportunities
• Achieve set growth targets
• Provide Monthly reporting
• Manage 3rd party revenue
• Meet and exceed set revenue target for 3rd party revenue line
• Update pipeline report each week
• Build brand target hitlists for outreach to build revenue pipeline

About you

• Minimum 3 years' experience, preferably within a digital media, or B2B partnerships role
• A self-starter with strong leadership skills
• Professional, responsible, accountable and flexible approach to work
• Experience planning or overseeing the delivery of marketing communications
• Advanced Powerpoint, Excel and Word Skills
• Experience managing workflows through Monday.com would be highly desirable
• Experiencing working with a CRM
• Data Analytics and Report building experience
• Passion for the Entertainment Industry
• Excellent communication skills and developed ability to both manage and work directly with stakeholders.
• Sound ability to work autonomously

This role is an exciting opportunity for an enthusiastic and focused Product Coordinator. The broad scope of the business provides dynamic products and offers insight into many industries. As a key member of the IT Projects team, contribute to new initiatives and manage the life cycle of products within the epay platform. Become the product coordinator ensuring business processes are followed and work with an offshore team that support this role. Suiting a detail orientated individual with strong problem-solving skills, shape the role through a period of organisational growth and change. The role involves a range of duties, including but not limited to the following:

*         Work with the internal teams as well as external brands and suppliers to manage products on the epay network. This would involve managing the products from its source, its business rules, up to the retailer where the product is made available for sale or processing.

*         Coordinate with an offshore support team to configure content and products in the staging environment.

*         Coordinate migration of content and products to production environment with an offshore IT operations team.

*         Review the setup of products in the both staging and production environments. This includes manages the testing life cycle on epay customer facing platforms and interfaces.

*       Review card data formatting.

*         Owner of tools such as checklists and process documents to ensure requirements are captured, tracked, and maintained.

*         Coordinate product related tasks with European and US Ops team daily and manage bi-weekly calls.

*         Assist and troubleshoot transactional and product issues, working with relevant teams to resolve them.

*       Manage the rollout calendar schedule.

*       Initiate process improvements where possible.

*         Tertiary education with a minimum 2 years’ experience in a similar role.

*         Strong problem-solving skills and strong inclination for process engineering/improvement.

*         Technical understanding and experience working with integrated transaction platforms.

*         Proven ability to drive relationships with key internal and external stakeholders, and to liaise cross-functionally and across borders.

*         Excellent attention to detail.

*         Excellent English verbal and writing skills.

*         Team player and works well under pressure.

*         Self-motivated and ability to work independently.

Additional Preferred Qualities:

*         Experience working with offshore teams

*         Good affinity for IT

*         Ability to quickly understand the business, procedures and acquire knowledge.
