General Summary:

The Administrative Associate provides administrative support for the Commercial functions in Australia and New Zealand. This position plays an important role ensuring the effective and efficient maintenance of departmental processes, procedures and programs. Interaction is with internal colleagues as well as external stakeholders including healthcare professionals and vendor agencies. The role requires flexibility and ability to multi-task, working at fast pace on time-sensitive matters while ensuring high attention to detail.

Key Duties and Responsibilities:

• Provide broad support to the Commercial functions, including coordination of day-to-day activities that lead to the completion of projects and tasks
• Manage processes for engagement with external parties (vendors and healthcare professional customers), including contract preparation and execution, vendor set up, service agreement preparation, purchase order requisition, and completing ‘after event’ reconciliation. These processes will be completed in a variety of software systems.
• Coordinate the calendars and schedule meetings for the Commercial functions. Administer key regular meetings (drafting agendas, attending meetings and taking minutes): Marketing Meeting, Sales & Marketing Teleconference, Operational Leadership Team meeting. 
• Manage the purchasing processes for all agreements for vendors and sponsorships. Track fees and invoices against PO and plan in Operational Expenditure tracker. Ensure POs closed out at end of month.
• Coordinate the administration of sponsorships undertaken by the Commercial team. This includes steering through internal approval process and execution with external stakeholders, liaising with internal colleagues for budget documentation, and execution of contracts and after-event reconciliation and documentation. Reporting of value exchange internally and where required, externally.
• Manage logistics for internal and external Sales and Marketing-led events (domestic and international) including cross-functional team meetings, advisory board meetings, educational meetings and local congresses. Sourcing venues, coordinating catering, organising parking, transfers. Provide assistance with staff travel arrangements and expenses.
• Coordinate inventory management of sales materials.
• Liaise with relevant international colleagues to carry out specific functions.

Knowledge and Skills:

• Excellent organisational skills that reflect ability to perform and prioritise multiple tasks with accuracy and attention to detail
• Ability solve problems and find solutions independently
• Proficiency in MS Word, MS Excel, MS Outlook, MS PowerPoint
• Versatile multi-tasker, comfortable in a fast-paced environment working on time-sensitive matters
• Effective interpersonal skills and the ability to build relationships with stakeholders including team-mates, international colleagues in medical and legal functions, external vendors and customers
• Strong written and verbal communication skills and demonstrated high proficiency for correct spelling, grammar, tone and syntax.
• Possess strong integrity and takes initiative to get tasks done, proactively tracks status of projects and solves problems to keep projects moving forward
• Is curious; open to and seeking to learn new things

Company Information

A member of the Chief Digital & Information Officer (CDIO Team) and reporting to our newly appoint CDIO, this role contributes to our purpose by ensuring the CDIO is supported to be successful and can deliver on our strategy.

Responsible for the effective and efficient operation of the CDIO office and working as part of the broader EA team in corporate as needed.

Responsibilities include:

• Executive Support to CDIO
• Executive diary and meeting management for CDIO
• Domestic and international travel and VISA management for CDIO and direct reports
• Ensuring expense reports of CDIO and Executive direct reports are submitted by the monthly deadline.
• Budget management
• Liaise with Board administrator to ensure that the CDIO is aware of and meets all Board requirements.
• Administrative support: IT Support, records management, document formatting, (Board and ELT papers)
• Ad hoc team management (e.g. annual conferences, on-boarding new starters)
• Multi-region communication and coordination
• Running the CDIO office efficiently and effectively

• Support the CEO through calendar management, email correspondence, administrative tasks, and special projects
• Collaborate with the Business Development team to secure meetings with potential new customers in order to drive commercial growth at Cadmus
• Organise and book travel for the CEO and other team members as needed; create thoughtful itineraries to ensure the trip runs smoothly
• Maintain good relations with Investors and Board of Directors and assist with regular reporting to these groups
• Manage business admin such as office logistics, updating company records, file/document management, etc.
• Take ownership of certain HR, payroll, and accounting tasks as required

Professional Skills

• Effective Communication: Demonstrate adeptness in both written and verbal communication. Craft professional emails as a representative of the CEO and other Cadmus leaders; build strong relationships with internal and external stakeholders to secure important outcomes such as key meetings, networking, engagements, etc.
• Information Synthesis and Prioritisation: Display the ability to synthesise research findings and prioritise information effectively.
• Detail-Oriented Acumen: Exhibit meticulous attention to detail in financial, HR and accounting matters. Ensure accuracy in numerical data, minimise costs, and adeptly identify cost-saving opportunities.
• Strategic Decision-Making: Highlight your capacity to assess multiple options and navigate through switching costs. Make informed decisions that align with organisational goals while considering potential challenges and benefits.
• Self-Starter: Capable of taking tasks and seeing them through to completion with minimal guidance. Anticipate needs and problems and proactively seeks out ways to solve them.

Preferred Experience

• Hold a bachelor's degree from a leading university
• 3+ years in an administrative role supporting senior executives
• Experience working in a fast-paced, constantly-changing environment (previous start-up experience is a plus)
• Familiarity with globally distributed teams / supporting a remote-first company

• Provide management presence at all times by assisting with the handling of guests’ needs and complaints tactfully and efficiently.
