This high profile Executive Assistant role also provides broader team support to the Executive Management Team, namely the Tech & Services portfolio and the Finance & Commercial teams within Sodexo; a recognised leader in the provision of facilities management services within the mining sector, oil/gas & corporate sectors.

As the Executive Assistant you will provide proactive administrative support in an agile environment; operating with autonomy to drive the completion of tasks while aligning with a common structure across portfolios.

Supporting various members of the Country Leadership Team, this role carries responsibilities including:  

• Full administrative support; emails, memorandums, letters, reports and Power Point presentations to the Executive team
• Action, monitor, report and support Safety initiatives and audits
• Develop, construct and build key presentations and reports through liaison with key personnel
• Develop and drive consistent business deliverables and frameworks; such as yearly strategy planning, monthly updates & regional reporting
• Executive travel coordination
• Events & conference management & office function special events; including collaboration with national support offices to streamline service & events
• Manage day-to-day operations, monitoring cost reductions and maintaining allocated budget, coding and processing invoices
• Assist with legal, licencing tender and other confidential documentation

What is this role about? 

The Accounts Payable Officer provides a range of financial processing services for Cuscal related entities to key stakeholders in line with Cuscal policies including, performing the day-to-day activities associated with the timely and accurate processing of supplier invoices and external contractor, client or regulatory or contractual payments. 

• Review and verify invoices submitted for processing including perform valid tax invoice review and 3-way match  

• Process payments, credit notes and refunds in compliance with financial policies, controls and procedures 

• Verify vendor details and administer creation/modification of vendor accounts, monitoring accounts to ensure timely payments  

• Correspond with suppliers and internal staff on invoice or account queries 

• Ensure appropriate approvals and delegation of authority assigned and obtained  

• Reconcile vendor accounts 

• Corporate Card administration  

• Provide guidance to employees on invoice and PO processing, travel, cab charge and expense claim reimbursements 

About You 
To be successful in this position you will have the following skills and experience: 

• Proven experience of processing financial and accounts payable transactions  

• Ability to analyse, interpret and evaluate data 

• Experience performing reconciliations and calculations. Experience with Financial accounting software systems such as SAP highly regarded.   

• High attention to detail and accuracy

We are seeking a diligent and high-performing Executive Assistant to join the team at Moranbah North Mine on a full-time, permanent basis with Anglo American. Reporting to the General Manager/SSE, this role will play an essential part in delivering efficient, accurate and timely support to the operations. This role will see you accountable for:

• Provide a high level of administrative support to the General Manager/SSE including calendar management, administration of documents and reports, record management, catering and all other associated administrative tasks.
• Provide a high level of administrative support to the Senior Leadership Team (SLT) by organising travel for SLT, monthly management of meeting processes, and site visits as required.
• Co-ordinate/collate the documentation & distribution of Monthly Reports and yearly Business Plan and other reporting as required for SLT.

Accounts Receivable

• Bank and various Online Billing reconciliations.
• Receipting and allocating EFT/BPay funds as per bank statements.
• Produce and distribute monthly statements.

Accounts Payable

• Processing of end to end Accounts Payable across all business units, ensuring. invoices are processed in an accurate and timely manner.
• Reconciling supplier statements and dealing with supplier queries.
• Prepare, upload and finalise payment runs.

General Duties

• Process and manage intercompany transactions through both AR and AP.
• Weekly and monthly detailed account analysis and reconciliation.
• Assist Financial Accounting Team in month-end closing such as preparing journal entries.
• Month end Ad-hoc assistance for GL and Balance sheet reconciliation.
• Bank Reconciliation & Prepayment account management.

• Assist with responding and attending general queries from the team and supporting in administrative tasks
• Document formatting, when required
• Manage meeting room bookings
• Event management for quarterly team events
• Sit at reception and make sure all meeting rooms are functional
• Answering and diverting client calls to appropriate persons
• Ordering & topping up stationery & office supplies for each level
• Maintaining a clean office space – emptying the dishwasher, maintaining coffee machine etc.
• Organizing and preparing catering & drinks for in-house events (e.g. birthday month, town hall, Vivid etc.)
