This position will serve as the primary point of contact between referring veterinarians and our specialist departments, ensuring seamless and efficient service for both our clients and referral partners. The ideal candidate will be dedicated to delivering high-quality, personalised service, ensuring that our referring vets receive an exceptional experience reflective of our commitment to excellence.

Key Responsibilities:

• Act as the main point of contact for referring veterinarians during business hours
• Build and maintain strong relationships with referring vets and key stakeholders, including regular offsite visits
• Manage specialty department referral bookings and enquiries
• Oversee the scheduling of specialty appointments, working closely with the VRH Client Services Team
• Efficiently manage the debt collection process while fostering positive client relationships
• Professionally handle and resolve client concerns, ensuring a positive experience
• Create and distribute the bi-monthly VRH VIP Newsletter to referring veterinarians
• Oversee the ordering and delivery of VRH merchandise to referring veterinarians as needed

Responsibilities

• Coordinate efficient and safe operations of a cold storage facility
• Coordinate inbound and outbound orders
• Ensure all inventory is received, stored, and shipped accurately and efficiently.
• Maintain accurate inventory records and report any discrepancies to management.
• Monitor and maintain the cleanliness and organisation of the warehouse, ensuring a safe and healthy work environment.
• Schedule and coordinate equipment maintenance and repairs.
• Train new employees and ensure all employees follow company policies and procedures.
• Develop and implement strategies to improve warehouse efficiency and reduce costs.

• 2-3 years experience operating in a busy warehouse and logistics environment
• Must have a forklift licence and experience using a forklift (essential)
• High Reach experience (advantageous)
• Can supply a copy of a National Police check & able to pass an alcohol or drug test (for more information, read our policy here)
• HACCP Knowledge & working in a frozen/cold environment (advantageous)
• Physically fit and able to stand, repetitively lift more than 15 kg consistently and 20 kg occasionally.

As our Administration Coordinator, you’ll be the driving force behind our centre’s daily operations. From managing essential services to ensuring high-quality client interactions and compliance, you’ll play a key role in enabling our multidisciplinary team to deliver outstanding care.

Key Responsibilities:

• Assist the centre manager to coordinate the administration team in providing high quality, responsive and accurate reception and administrative duties
• Manage IT services and support, facilities, stationery and supplies
• Maintain medical records, process Medicare claims and reconcile income
• Ensure timely, high-quality reporting and communication with all stakeholders
• Collaborate with the Centre Manager to maintain quality and safety standards
• Assist in the induction of all new staff and in the recruitment function, as required

With a solid background in office administration—preferably in a health setting—you’re adept at supporting teams and handling sensitive information with discretion.

What you bring:

• Substantial experience working in a similar role, preferably within a medical or health setting
• Ability to communicate with and support young people and their families with complex needs
• Strong organizational skills, with the ability to prioritise and manage your time effectively
• Advanced computer skills and familiarity with clinical and billing software, e.g., episoft
• Certificate IV or Diploma in a relevant discipline (highly regarded)
