headspace Dandenong is looking for a dedicated Administration Coordinator to join our team and play a pivotal role in enhancing our service delivery and operational efficiency.

As our Administration Coordinator, you’ll be the driving force behind our centre’s daily operations. From managing essential services to ensuring high-quality client interactions and compliance, you’ll play a key role in enabling our multidisciplinary team to deliver outstanding care.

Key Responsibilities:

  • Assist the centre manager to coordinate the administration team in providing high quality, responsive and accurate reception and administrative duties
  • Manage IT services and support, facilities, stationery and supplies
  • Maintain medical records, process Medicare claims and reconcile income
  • Ensure timely, high-quality reporting and communication with all stakeholders
  • Collaborate with the Centre Manager to maintain quality and safety standards
  • Assist in the induction of all new staff and in the recruitment function, as required

About you
You’re an organized multitasker with a knack for keeping things running smoothly. Your interpersonal skills shine when working with a diverse group, particularly young people. With a solid background in office administration—preferably in a health setting—you’re adept at supporting teams and handling sensitive information with discretion.

What you bring:

  • Substantial experience working in a similar role, preferably within a medical or health setting
  • Ability to communicate with and support young people and their families with complex needs
  • Strong organizational skills, with the ability to prioritise and manage your time effectively
  • Advanced computer skills and familiarity with clinical and billing software, e.g., episoft
  • Certificate IV or Diploma in a relevant discipline (highly regarded)
