Join us as our new Crewing Assistant

We are looking for another member to join our international Crewing Team. The Crewing Team is accountable for resourcing and scheduling our offshore personnel across the Asia Pacific region, including our Diving, ROV, Survey & Inspection, Deck, Marine and Supervisory personnel. As a Crewing Assistant, you will support the Crewing Coordinators with human logistics, including but not limited to assisting with visa applications, personnel manning levels and schedules, record management, onboarding, preparing employment documentation for review, and maintaining compliance reports.

Your role will be to provide high-level administrative and strategic support to our Senior Vice President, Talent & Culture and the broader senior T&C leadership team.  Naturally proactive, you will ensure seamless coordination and execution of their daily activities. As a trusted partner, you will be managing schedules, communications, and supporting on projects to optimize the executive's effectiveness.

Key Responsibilities:

Administration:

• Manage the SVP’s calendar and travel arrangements, ensuring efficiency across time zones
• Prepare agendas, take minutes, and organize meetings and conferences
• Collaborate with the T&C team on reports, presentations, and project coordination
• Maintain an efficient e-filing system and handle general office tasks
• Support the coordination of T&C projects and events
• Compile weekly T&C activity reports for the SLT

Communication:

• Manage calls, emails, and inquiries, acting as the SVP’s first point of contact
• Build and maintain relationships with internal and external stakeholders
• Prepare and send communications to properties and business units
• Ensure timely follow-up on action items

Financial Administration:

• Process invoices and expense claims (using Concur)
• Liaise with the finance team and other internal departments with regard to payments, recharging, approvals or enquiries

Key Skills & Attributes:

• Ability to manage complex scheduling across time zones

What will you be doing?

• Assist and oversee the day-to-day operations of the Front Office team
• Supervise and monitor team members with true leadership ability that motivates the entire team.
• Ensure the smooth and efficient running of the Hotel's operation in absence of the Director of Operations/ Senior Management with a high level of customer service provided at all times.
• Actively resolve complaints and challenges presented by guests/customers to reach a win-win situation.
• Process and assist with check-in and check-out of guests when needed.
• Respond to and coordinate emergency situations.
