What will you be doing?

Join us as our new Crewing Assistant

We are looking for another member to join our international Crewing Team. The Crewing Team is accountable for resourcing and scheduling our offshore personnel across the Asia Pacific region, including our Diving, ROV, Survey & Inspection, Deck, Marine and Supervisory personnel. As a Crewing Assistant, you will support the Crewing Coordinators with human logistics, including but not limited to assisting with visa applications, personnel manning levels and schedules, record management, onboarding, preparing employment documentation for review, and maintaining compliance reports.

Your role will be to provide high-level administrative and strategic support to our Senior Vice President, Talent & Culture and the broader senior T&C leadership team.  Naturally proactive, you will ensure seamless coordination and execution of their daily activities. As a trusted partner, you will be managing schedules, communications, and supporting on projects to optimize the executive's effectiveness.

Key Responsibilities:

Administration:

• Manage the SVP’s calendar and travel arrangements, ensuring efficiency across time zones
• Prepare agendas, take minutes, and organize meetings and conferences
• Collaborate with the T&C team on reports, presentations, and project coordination
• Maintain an efficient e-filing system and handle general office tasks
• Support the coordination of T&C projects and events
• Compile weekly T&C activity reports for the SLT

Communication:

About the Role:
The Administration Assistant provides general administrative support to both the General Manager and the facility. The position has direct responsibility for managing general office administration, reception, rostering, and associated support services. The Administration Assistant is responsible for liaising with employees, contractors, volunteers, visitors, residents, and their families at the facility.

Administration & Operational Key Duties:

• Provide a customer-focused reception service for the facility and promptly respond to or direct enquiries.
• Provide general administrative support to the General Manager (and other managerial employees), and perform a range of administrative tasks including but not limited to typing, photocopying, filing, answering telephone enquiries and general office duties.
• Roster employees using Time Target in accordance with the facility’s staffing requirements.
• Review timesheets against the roster as required by the General Manager.
• Source and roster replacement staff in the event of illness or unexpected absenteeism.
• Ensure timely response to all enquiries, and refer any compliment or complaint to the General Manager.
• Manage and order office and other general facility supplies to ensure efficient delivery of administrative services to the facility and residents.
• Develop reports and take accurate minutes of meetings as required.
• Arrange distribution of the facility resident newsletter as required.
• Maintain the key register and organise individuals to sign the required forms in relation to allocated keys.
• Collect mail each morning and distribute to staff and residents.
• Ensure outgoing mail is dispatched by the end of each working day.
• Manage and maintain facility evacuation kits.
• Any other task not defined but within the employee's skills, as directed by the organisation.

Essential:

• Minimum Certificate of Education or equivalent.
• Knowledge and experience of office procedures.
• High-level customer service skills.
• Advanced computer and word processing skills.
• Cash handling and banking experience.
• Current NDIS Worker Screening or National Police Certificate as applicable at the facility (or ability to acquire).
• Recognised qualification (Cert III) in business administration.
