About the role:

The Medical Records Manager plays a key role in the delivery of virtual care programs that Teladoc Health delivers for members. The programs leverage our clinical providers and telehealth capabilities to connect members with a range of clinicians for medical assessments.
The role is key to organized and efficient operations of our business and for our members. The role is required in designing, implementing, updating and overseeing record systems. This assists in accessing data easily and smoothly when and where required. The role is required to understand legal regulations and follow the compliance required related to storage and disposal of data files and records as per the regulations. With this expertise, healthcare facility can operate seamlessly, comply with regulations effortlessly, and focus on what matters most: delivering excellent patient care. The role has the responsibility to ensure agreed timeframes are met in obtaining the necessary medical records for each member, where required. Plus, the responsibility of the safe transfer of identified member data from one system to the next, allowing Experts to be able to complete their reports. This role will liaise with EU and US teams, clinicians, medical facilities, members and internal stakeholders to progress each case, ensuring it is furnished with the correct medical records needed to deliver outstanding service.

Salary Range: $70,000 to $80,000 + Guaranteed Superannuation

The Medical Records Coordinator role will:

• Responsible for the administration of medical records and pathology collection.
• Developing/recommending and updating records management system.
• Have responsibility for the requesting, management and collection of medical records, including pathology samples, from a wide array of facilities in Australia and New Zealand.
• Connect the right case to the right Expert, or Expert solicitation team through review of the case and clinical summary.
• Ensure member PI is protected by only de identified information being shared with our international teams.
• “Case manage” relevant portions of each case that includes medical records. This will include but is not limited to “Expert Medical Opinion” and “Mental Health Service” services.
• Deliver clear, concise communication to Teladoc clinicians. Providing exceptional customer service at all touch points, ensuring that records requested for the clinicians, aligns with the outgoing facility requests.
• Represent Teladoc professionally and with integrity when dealing with medical facilities.
• Deliver clear and regular communication to internal stakeholders on records collection progression. Ensuring overdue cases are well managed and taking a “team problem solving” approach.
• Ensure that Teladoc meets our service level agreements through efficient handling and organisation of the medical records process.
• Working with a team of clinicians and operations staff to ensure best practice procedures are followed related to records management, while consistently finding way to the improve quality and efficiency.
• Be available to answer calls from medical facilities, and general overflow calls from members regarding data management.
• Keeping up to date with regulations and processes.
• Comply with data protection and member privacy guidelines and standards. Immediately report suspected privacy breaches.
• Comply with company policies and procedures.
• Understand and abide by organisational values.
• Track, report and effectively communicate service delivery issues through appropriate internal channels.
• Communicate and report on performance against pre-determined KPI’s or focus areas.

Relevant qualifications:
Bachelor’s degree or higher qualification. At least five years of relevant experience may substitute for the formal qualification.

Skills and experience:
• At least 2 years of experience in a health setting is required, exposure to Medical Records or Medical Admin role is a must requirement.
• Proficient in Microsoft office products.
• Exceptional attention to detail, time management and organisation skills are a must.
• Confident communicator and team player.
• Outstanding customer service and communication skills, both verbal and written. Customer service and administration experience is essential.
• Tech savvy, with experience navigating CRMs is advantageous.
• Intermediate to advanced computer literacy skills.
