We are looking for a Team Assistant to join our People & Culture team.
What is this role about?
The main purpose of this role is to support the People and Culture Senior Leaders and their teams, so they can ensure the most effective and productive use of their time and attention can be focused on meeting key business and strategic goals.
As the Team Assistant you will be responsible for supporting the day-to-day operational administrative function for the key business areas.
The responsibilities in this role include but are not limited to the following:
- Provide timely and professional support to the senior People Leaders, undertaking a wide variety of administrative, support and coordination functions working with both internal and external parties.
- Assist the senior People Leaders, undertaking aspects of their role i.e., diary management, meetings, and travel coordination.
- Develop, prepare, and produce correspondence, documents, reports, spreadsheets, and presentations in a timely, efficient, and professional manner.
- Liaise as required with clients, partners, and peers of the senior People Leaders.
- Arrange meetings as required including management meetings and other such meetings. May include meeting room set up and arranging catering.
- Arrange travel, conferences and conference calls as required.
- Coordination of events including celebrations and catering.
- Provide support and coordination of general office responsibilities.
- Reconcile and process monthly corporate expense claims, invoices and requisitions as required.
- Work closely with the EA to the Chief People and Legal Officer, People & Culture, IT Support and Admin Services teams to onboard new employees and offboard exiting employees.
