The Executive/Team Assistant is responsible for contributing to the smooth operation of the Sales/Commercial Office. The position provides executive support to Nine’s Executive Sales Team and the Executive Assistant team. The role will involve engagement with executive and senior level stakeholders as well as the functional operations of the Sydney Sales Office. This is a diverse, hands-on role which requires professionalism, interpersonal skillfulness, organisation, energy and attention to detail.
Responsibilities include:
- Provide quality and timely administrative support to the Executive and Sales Team
- Coordinate executive communications, including; taking calls, responding to emails and interfacing with internal/external stakeholders
- Maintain and report on a current log of correspondence and commitments and chase up items approaching the due date
- Prepare internal and external corporate documents for team members and industry partners
- Maintain and coordinate an effective calendar system, ensuring the Executive’s competing demands are effectively managed
- Organisation and preparation of internal/external meetings and meeting rooms including VC preparation (Google hangouts, Teams)
- Maintain organisational charts and google group lists
- Coordinating travel arrangements and detailed travel itineraries
- Office and event coordination – including meeting room set up, event logistics and organisation
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and clientele
- Support the broader Sales EA team
- Administer and process complex invoicing/credit card reconciliation and approvals
- Administer and process expenses as per deadlines
- Assistance with on-boarding and exiting staff procedures
- Maintain a high level of awareness of matters coming into and out of the office to effectively respond to enquiries and exercise sound judgement on the manner of response
