To support the Parks Department in developing and delivering quality services to internal and external customers and assist with monitoring the performance of the Work Units and Department using agreed performance measures. 

What you’ll be doing:

  • Conduct clerical and office duties to support the operation of the City Parks & Open Spaces team including coordination of meetings, setting appointments, agendas and minute taking. 
  • Support the department in efficiently and accurately managing tasks associated with daily and/or weekly programs of work including, purchase orders, work orders, minutes of meetings and customer service requests via Hume’s Finance, Record Management and Asset Management systems.
  • Maintain information systems for the department including worksheets, staff contact lists, asset data.
  • Provide support to the department with customer service, asset management and finance software systems. 
  • Raise purchase order requests on behalf of department staff and adhere to Councils Procurement Policy.
  • Ensure invoices are received and processed in accordance with Council Policies and Procedures. 
  • Record keeping via spreadsheets / budget tracker of all purchase orders raised and receipted for the Unit.

The skills and experience you’ll bring to the role:

  • Knowledge of the use and monitoring of key performance indicators and associated software tools. 
  • Knowledge and experience in using Technology One Finance System
  • Ability to effectively deal with difficult situations, customers, issues, request, and complaints. 
  • Demonstrated multi-disciplinary skills and a high level of literacy, including the ability to prepare routine reports and correspondence. 
  • Demonstrated customer service skills including the ability to gain cooperation and assistance from people with diverse backgrounds and cultures. 

Required Certifications & Qualifications:

  • Certificate or qualifications in Office Administration or similar or demonstrated relevant experience in office administration or a similar environment. 
  • Current driver’s license
