What You'll Do

We currently have a 12-month maximum term parental leave cover opportunity for an experienced Executive Assistant/Operations Support to provide a high level of support to the CEO at NRMA Energy.

In this dual role, you will be responsible for calendar, email, travel, and expense management as well as driving operational excellent across the business. This is a role that will suit a highly experienced Executive Assistant and who is interested in learning more about business operations and jumping in to provide solutions to create marketing collateral, arrangements with media, full event management, tender writing, as well as coordinating deliveries to the warehouse, shipping kit.

This role is preferably based at our Sydney CBD and Sydney Olympic Park offices with the flexibility to work from home.  Some travel will be required to our Sydney and interstate sites across Australia as agreed and required.

Your responsibilities will encompass:

  • Manage the CEO’s diary with excellent communication to both internal and external stakeholders, flagging emails and phone calls ensuring timely responses
  • Coordinate and schedule team meetings, workshops and other internal events for the Energy team, draft agendas
  • Arrange interstate travel logistics for CEO and team often to remote locations
  • Prepare and edit documents, presentations, and reports on behalf of the CEO and team, maintaining a high level of accuracy and confidentiality
  • Assist with the accurate and timely entry of contracts into our online portal
  • Timely, accurate expense submission for CEO and GMs, delegated approval for team expenses
  • Collaborate with marketing, budget for and pay invoices, arrange delivery of kit and collateral, attend events and be a knowledgeable brand representative on the stand
  • Assist the Community liaison lead with new site launches including design, ordering and delivery of collateral; smooth stakeholder management of profile industry, government and media attendees, attending some launches
  • Assist with tender responses including content writing and information gathering as required
  • Provide operational support as required.  This may entail attending sites, speaking with suppliers, customers and partners.
  • Source answers to questions from the call centre, ensuring timely responses.
  • Read and share EV news ensuring team is across National news items pertaining to EV
  • Manage access, logistics and maintenance 3x branded vehicles
  • Ensure the team are tracking their safety observations and make your own when out at site/warehouse/office.

What You'll Bring

You are an Executive Assistant experience who has previously supported C-level executives with your excellent communication skills, exceptional attention to detail, and a confident and approachable demeanour and are passionate about learning and providing business operations support.

As the ideal candidate, you will use your proactive, adaptable, and resourceful mindset to anticipate needs and take initiative. Combining your proficiency with productivity tools such as MS Office Suite, and your outstanding organisational and time management skills, you will prioritise and multitask effectively. Your strong problem solving abilities and the capacity to make informed decisions independently enables you to support what the CEO and the team in meeting their targets.
