About the role
This exciting 12-month opportunity has arisen due to an internal transfer and can be undertaken in ACT/NSW/QLD/SA/VIC/WA. As a Commercial Analyst, reporting to the Solution Delivery Manager, you will help create and deliver quotations for software licensing, renewals, and related professional services. You will work with technical and sales teams to ensure accurate quotes that meet client needs for both new and existing Konica Minolta customers. Additionally, you will develop and review pricing plans to boost revenue and stay competitive. You will also help prepare forecast reports, compare them with estimates and actual results, and identify any differences.

In consultation with key stakeholders, your primary responsibilities will be:

• Support the delivery of quotation of software solution licensing, software renewals and related Professional Services. Work closely with technical and sales teams to prepare and deliver accurate quotations ensuring all client requirements are met
• Maintain up-to-date records of all quotation-related documents and data. Distribute these materials to relevant stakeholders and ensure the accuracy and availability of pricing tools
• Develop and analyse pricing strategies to optimise revenue and stay competitive
• Assist in preparing forecast reports, and track against estimates and actuals and identify variances
• Liaise with software vendors & internal Marketing teams on pricing arrangements
• Support ad-hoc reporting and manage data administration as required
• Help respond to requests for proposals and requests for information from prospects & customers
• Support Professional Services Team and customer throughout the sales cycle as required

Knowledge, Experience & Requirements

• Ideally industry knowledge in pricing, sales process, Professional Services or Information Technology
• Advantageous to have a working understanding of Print Management Software Solutions, however not essential as training will be provided
• Desire to learn Enterprise Software Applications such as SAP/CRM, SharePoint – which will be the tools you will be utilising to fulfil your role.
• Intermediate ability in MS Excel, Word and Powerpoint
• Ability to think critically and problem solve
• High attention to detail
• Ability to work independently and proactively
• Great interpersonal skills and stakeholder engagement
• Ability to prioritise multiple tasks with competing deadlines

What you’ll do

Administration

• Ensure administration tasks are completed accurately, professionally and on time
• Manage and maintain school records and logistics, office documentation, and other tasks including the mail function including pick-ups, mail sorting, mailing and special deliveries, order and control supply of stationery and other office supplies in an orderly and systematic way
• Prepare letters, email communications, memos, reports and other documents as required
• Use established excel spreadsheets for managing data and information
• Prepare professional and high-quality presentations and other materials using PowerPoint/desktop publishing as required
• Support and or coordinate projects and ensure all stakeholders are communicated on progress of projects and their expectations are met
• Proof-read documents, reports, brochures and newsletters as required

Customer Experience

Operational Matters

• Ensure the office equipment functions well and is maintained and serviced to meet business needs
• Allocated tasks are completed in a timely manner and proactively seeking to improve administrative and operational processes in collaboration with the Senior Clerical Officer
• Organise catering for special functions as required, including provision of kitchen supplies
• Ensure visitors to the school are verified and approved to be on the school site and are inducted in accordance Aspect procedures and guidelines i.e. WHS, safeguarding and evacuation procedures
• Site is maintained to comply with Aspect procedures and assist with organising site maintenance including raising work orders for contractors, scheduling work, organising site visits and providing information and feedback.

Financial administration and reporting

• Submit invoices and expenses for payment through Expense Manager / Prospend
• Prepare, reconcile and process accounts and credit card statements with appropriate receipts
• Support and provide information to staff regarding fortnightly staff payroll administration and ensure staff submit timesheets on time.

Information Systems

• Update and maintain information collated in school spreadsheets. Complete basic data manipulation tasks in Excel spreadsheets
• Update and maintain data in school database system. Generate reports to support the school and to comply with National Office processes as well as government reporting through attendance stats, census & NCCD etc.
• Assist staff with basic IT issues and support escalation to IT helpdesk where required in a timely and effective manner.

• Accounts Receivable: Ensure timely and accurate processing of collections.
• Debt Follow-Up: Monitor and follow up on outstanding debts to ensure timely payment.
• Customer Management: Set up new customers, conduct credit vetting, and establish credit limits.
• Legal Matters: Manage the legal process for overdue debts.
• Data Management: Assist with preparing data for upload into the SAP Business Intelligence system.
• Fixed Assets: Assist with capturing and reconciling fixed assets.
• General Ledger: Reconcile GL accounts.
