About the Role

• Cross-checking deliveries and ensuring accuracy
• Booking consignments and responding to customer requests
• Liaising with internal and external stakeholders to assist in achieving optimal delivery outcomes.
• Data entry of freight bookings into Transport Management System

About You

To excel in this role, you’ll have at least 2 years of fast paced administration experience, ideally in transport, logistics, or delivery services. We’re looking for someone with:

• Strong planning and communication skills
• Attention to detail.
• A solid work ethic and a “Can do” attitude
• Excellent problem Solving / Researching Skills
• Strong organisational and time management skills 
• Excellent computer skills, including knowledge of the Microsoft products Outlook, Word and Excel
• The ability to work independently and as part of a team

The Opportunity: 

We’re seeking to appoint an experienced Executive assistant to support our CIO. Based in our office at 255 George St, you will be required to work from the office at least three days per week or anytime the CIO requires.

The day-to-day activities you will be responsible for, are: 

Administrative Support

• Manage and maintain the CIO's calendar, scheduling appointments, meetings, and travel arrangements.
• Handle correspondence, emails, and phone calls, ensuring timely responses and appropriate follow-ups.
• Prepare and edit documents, presentations, reports, and other materials for the CIO.
• Organise and coordinate meetings, including preparing agendas, taking minutes, and tracking action items.
• Maintain confidential files and records, ensuring data integrity and security.
• Expense management, including reimbursement and corporate card reconciliation.
•  Prepare purchase orders and facilitate approval of invoices.
• Identify and implement procedural changes to improve operational efficiency in conjunction with other team members.
• Assist in the preparation of executive summaries, briefings, agendas and reports for the CIO.
• Organising events like workshops, all-hands, etc.

Strategic Support

• Support the CIO in tracking the implementation of strategic plans and objectives. 
• Prepare briefings, reports, and presentations to support strategic decision-making. 
• Assist in collating key performance indicators (KPIs) and relevant metrics for the technology department for reporting purposes.

We’d love to hear from you if you have;

• At least 5 years of experience providing support to C level executives, ideally an CIO / CTO.
• Advanced MS Office skills.
• Experience using SharePoint is desirable.
• Demonstrated experience managing and maintaining confidential information.
• The ability to communicate to stakeholders in a variety of forums.
• Strong problem-solving skills and attention to detail.
• Ability to work independently and collaborative in a fast-paced environment.
• Excellent interpersonal skills and ability to build relationships with stakeholder at all levels.
• High EQ & IQ, taking personal responsibility for, and pride in own work.
