What will you be doing?

• Assist and oversee the day-to-day operations of the Front Office team
• Supervise and monitor team members with true leadership ability that motivates the entire team.
• Take initiative to ensure all interactions with our guests are positive and productive.  
• Ensure the smooth and efficient running of the Hotel's operation in absence of the General Manager/Senior Managers with a high level of customer service provided at all times.
• Actively resolve complaints and challenges presented by guests/customers to reach a win-win situation.
• Ensure there is management support and presence visible on Front Desk and in the lobby during key times throughout the day.  
• Process and assist with check-in and check-out of guests when needed.
• Respond to and coordinate emergency situations.

About the Opportunity

We are currently seeking a proactive and experienced Executive Assistant to support our Executive Director Impact Missions, based in our iconic Swan River offices beneath Kings Park.

You will actively contribute to a high-performing team and drive impact by working productively and efficiently, collaborating closely with other Focus & Enabler areas and Corporate Services as part of our matrix structure and championing our One Minderoo Culture. 

Your day to day will include:

• Management of EDs emails, ensuring volume is kept manageable, emails prioritised and tasks delegated accordingly. 
• Investigation and follow up of matters on behalf of the ED and where required, making decisions in their absence.
• Diary management utilising high levels of discretion and judgement to prioritise the ED’s commitments and resolving conflicts in a rapidly changing environment.
• Planning and coordination of often complex interstate and international travel arrangements booked well in advance to capitalise on cost savings and maximise time.
• Timely processing of financial transactions – Purchase requisition, purchase order, MediusFlow and FlexiPurchase.

This full time  Assistant Manager - Nights  role reports directly to the Front Office Manager, you will be responsible for supervising and training the Front Office team and all guest interactions that occur overnight.

As a Assistant Manager (nights), your tasks and responsibilities will consist of, but are not limited to the following:

• Effectively manage the daily reconciliation of the Hotel outlets including reception
• Check and prepare reports and statistical information in accordance with service standards and auditing procedures during the night shift
• Represent the General Manager in their absence, holding responsibility for the smooth and efficient running of the Hotel's overnight operation
• Deliver guest service to all guests and handle any guest complaints
• Process and assist with check-in, check-out of guests, ensuring all procedures are adhered to.
• Provide guidance, support training and leadership to all employees
• Assist in all areas of the Hotel as required to eliminate potential issues.
• Responsibility for the health and safety of all patrons, guests and staff members.

• Leading the kitchen teams across all four kitchens in the Domestic and International Lounges at Perth Airport (Terminals 3&4)
• Working closely with Neil Perry Consultants in order to create luxurious culinary experiences for our passengers.

• Make outgoing calls to our existing client database to promote our products and services

Requirements :

• Previous working experience in a similar role (customer service/ administration/ account management)
• High attention to detail and excellent organisational skills
• Excellent customer service skills
• Intermediate computer skills
• Complaint handling and conflict resolution skills
• Ability to work under pressure, multi-task and work autonomously
• Outstanding verbal and written communication skills
• Love working in a team environment

The successful candidate must be able to pass a Pre-employment medical, drug & alcohol screen as well as background checks.
