To provide a high level of general office administration tasks that supports the Homestead Community and Learning Centre.
What you’ll be doing:
- Manage appropriate systems to ensure effective and efficient day-to-day administration including general correspondence, meeting minutes, purchasing, invoicing, document management, collation of data and reports.
- Administer the Centre’s booking system, including point of contact enquiries, maintenance of the booking system and administration of accounting processes.
- Ensure effective and efficient day-to-day operation of the Homestead Community and Learning Centre as per the Operations Manual.
- Ensure the facility is maintained and well presented to a high standard and any maintenance and cleaning issues are dealt with promptly through liaison with the Council’s Facilities Management Team.
- Administer the Centre’s learner enrolments, including the processing of enrolment forms and payments.
- Assist in the design and data entry of databases as required particularly maintenance of the Social Planet system.
- Manage customer service requests, complaints, general enquiries, and transactions (where appropriate).
- Help promote and support the participation of a wide range of users in the facility and Council programs through collaborative approaches and maintenance of day to day facility operational functions.
The skills and experience you’ll bring to the role:
- Well-developed interpersonal skills and proven ability to communicate effectively and gain cooperation and assistance from customers, management, and employees at all levels within the organisation.
- Commitment to quality customer service provision and the ability to follow through all enquiries effectively and efficiently.
- Knowledge and/or proficiency in the use of facility booking or administration systems within a community setting.
- Ability to identify customer needs and expectations, decide appropriate action and respond accordingly.
- Demonstrated ability to communicate both verbally and in writing with a broad range of people from diverse backgrounds and cultures.
- Demonstrated ability in dealing with difficult situations, resolving problems, and presenting a positive image of Council.
- Previous experience working in an administrative role and demonstrated experience and aptitude in dealing with members of the public.
- Knowledge of Council software applications including Finance One, Bookable and HPE Content Manager is desirable.
