Spectrum Transport is on the lookout for a proactive and detail-oriented Administration Coordinator to join our team, based in Ingleburn Southwest of Sydney working closely with our Eastern Creek team. If you’re passionate about administration, customer service and logistics, this full-time role could be the role for you.

The Role

As a valued member of our team, you’ll have the chance to grow your skills in a dynamic and ever-evolving industry. In the role of Administration Coordinator, you will be essential in ensuring smooth daily operations at our depot. Your key responsibilities will include:

• Invoicing and general administration duties
• Tracking freight and inputting proof of deliveries (PODs)
• Data entry
• Responding to customer service enquiries via phone and email
• Cross-checking deliveries and ensuring accuracy
• Booking consignments and responding to customer requests
• Liaising with internal and external stakeholders to assist in achieving optimal delivery outcomes.
• Data entry of freight bookings into Transport Management System

About You

To excel in this role, you’ll have at least 2 years of fast paced administration experience, ideally in transport, logistics, or delivery services. We’re looking for someone with:

• Strong planning and communication skills
• Attention to detail.
• A solid work ethic and a “Can do” attitude
• Excellent problem Solving / Researching Skills
• Strong organisational and time management skills 
• Excellent computer skills, including knowledge of the Microsoft products Outlook, Word and Excel

We have a great Operations Coordinator opportunity in our Numero team for a fluent Mandarin speaker. This role can be based in either Auckland, Sydney or Melbourne and has flexibility to work remotely with only occasional visits to the office.

The ability to work weekends 9am to 5pm, Thursday to Monday is essential.

Key Responsibilities:

Box Office Data Management

• Box Office data entry
• Daily Box Office data accuracy checks
• Chasing up missing grosses
• Mappings of films, formats and theatres

Film Release & Release calendar updates

• Film creation, amending release dates, finding film artwork and synopses

Client Service

• Replying to enquiry emails about box office data and reporting
• Helping customers and users with requests e.g. setting up logins and investigating data discrepancies etc...

Skills, Knowledge, Abilities and Personal Attributes:

• Must be proficient in Mandarin and English
• An interest in box office results, records or statistical information
• Film knowledge, and an interest in film, is a plus
• Knowledge, experience and understanding of the cultures in Asia is a plus
• Proven ability to work as a part of a team, and independently, to meet deadlines
• Excellent communication skills, both written and oral
• Ability to demonstrate and further develop administrative, time management and planning, analytical, problem-solving, and internet research skills
• Confident, positive personality with excellent interpersonal skills and a professional manner.

• You must have the right to live and work in Australia or New Zealand

Are you our new Injury Management Coordinator?

DOF is currently seeking an experienced and dedicated Injury Management Coordinator to join our team In Perth on a part-time basis - 3 days a week.

As the Injury Management Coordinator, you will coordinate and manage the Injury Manage process and Return to Work Program for the APAC region. Tasks will include, but is not limited to:

• Proactively managing the Injury Management Process and Return to Work Programs for DOF - APAC within relevant legislative and company guidelines.
• Ensuring the relevant Country, State or Territory specific Worker’s Compensation legislation is adhered to.
• Managing work and non-work related injuries or illnesses to deliver the best outcome to the employee and Company.
• Managing insurance claims in conjunction with Insurance Specialist and aligned with the DOF Claims process.
• Liaising with the company appointed workers compensation insurers and brokers to ensure there is continual high level strategic analysis of claims to help mitigate costs and ensure workers resume their normal duties as soon as practicable.
• Assisting the HSEQ management team with claim analysis to identify the agency of injuries to address shortfalls.
• Attending claims reviews with insurers on a quarterly basis ensuring effective management and coordination of work-related injuries and illnesses.

• Minimum 5 years of experience as an Injury Management Coordinator, including Return to Work Programs in a similar role
• Experience in SOLV Injury management Software essential
• In-depth knowledge of workers' compensation laws and regulations
• Experience in the Oil & Gas sector will be highly regarded but is not essential.
• Excellent communication and interpersonal skills
• Ability to work independently and as part of a team
• Strong attention to detail and ability to manage multiple tasks simultaneously
• Proficient in Microsoft Office suite
• Allied Health qualification - Physiotherapist, Occupational Therapist, Exercise Physiologist, or similar
• Certificate in Worker’s compensation and Injury Management (desirable); or
• FNS41915 CERT IV in Personal Injury Management (desirable)
