Position Overview

Key Responsibilities

The main duties of the Office Manager include and is not limited to the following:

Financial Management:

• Collaborate with the Partners in overseeing the firm’s budgeting, financial reporting, and billing processes.
• Ensure compliance with relevant financial regulations (e.g., trust accounting rules) by collaborating with the firm’s auditors, bookkeeper, and other financial professionals.

Contract Management:

• Prepare, assess, and review the firm’s employment agreements, ensuring compliance with relevant employment laws.

Human Resources:

• In collaboration with the firm’s leadership team, assist with the firm’s recruitment, onboarding, and performance evaluation activities in line with the firm’s strategic plans.
• In collaboration with the firm’s leadership team, assist with implementing training programs to enhance staff knowledge in line with the firm’s strategic objectives.
• Maintain effective communication with the firm’s external HR provider to ensure seamless coordination of HR services, including payroll, benefits administration, and compliance with employment law.

Office Policy Development:
• Establish and maintain a comprehensive library of internal policies and procedures that adhere to legal requirements specific to the practice of law, ensuring compliance and best practices.

Strategic Planning:

• Actively participate in the firm’s leadership team, contributing to the development and implementation of strategic plans that drive the firm’s growth and success.
Data Management and Security:
• Assist with the implementation and enforcement of the firm’s data security measures to safeguard sensitive client information and maintain confidentiality.

Audit Coordination:

• Collaborate with relevant team members to develop comprehensive annual audit plans that address key risk areas within the firm’s operations.
• Lead the execution of regular audits, ensuring that findings are thoroughly analysed, and any identified issues are promptly addressed to maintain compliance and improve processes.

Reception and Drafting Team Management:

• In collaboration with the relevant team leaders, provide overall direction and supervision for the Manila drafting and reception services team, ensuring efficient and high-quality service delivery.
• Establish clear performance targets for the Manila team and regularly monitor their productivity, providing constructive feedback and coaching to optimise performance.
• Develop and implement targeted training programs for the Manila team to enhance their skills in legal drafting, client communication, and administrative tasks, aligning with the firm’s quality standards.
• Maintain open communication with the Manila team leader to proactively address any operational challenges or issues, ensuring smooth and uninterrupted service delivery.
• Facilitate seamless communication and collaboration between the Manila team and the Australian offices, fostering a cohesive and unified team environment.

Spearheading operations management; operations in charge of all inbound, out bound, domestic business. Overseeing the implementation of Warehouse Management Systems (WMS). Providing valuable insights to support decision-making and drive business growth; Evaluate profitability of AU clients and provide customer service assistance, including operational setup. Managing the offshore customer service function. Responsible for Route Planning to offer the best route for transportation to minimize cost and delivery times. Responsible for transportation documentation (prepare and manage all necessary shipping documentation). Responsible for cost management (monitor and control cost transportation to stay within a budget). Responsible for Customer Service (address any issue or complaint from customers) Verify storage and distribution invoices for accuracy and analyse profit and loss (P&L) statements to track profitability. Ensure daily supervision and guidance of customer service staff in operational tasks while overseeing billing processes. Develop related standard operating procedures (SOPs) for various operational processes. Operations Manager - Retail Fulfilment Centre, Prestons The Role The Retail Fulfilment Centre, covering 32,000 square metres with state of the art automation technology is Toll's flagship site. Your role will be to supervise and manage the daily operations and develop the 3rd party distribution centre of the Retail fulfilment Centre and associated distribution activities so that people and equipment are employed efficiently, and the warehousing and distribution activities are performed safely, accurately and in accordance with customer requirements. The Operations Manager directs the warehousing and distribution of the Retail Fulfilment Centre to ensure services and financial targets are consistently met. This is a role where leadership, customer excellence and operational efficiency all come together, and you will need to drive high standards whilst ensuring the site is being run safely and efficiently. As the Operations Manager, you will:

Plan and coordinate activities for the Retail fulfilment centre month-to-month to achieve results and standards.


Provide direct leadership to effectively deploy innovative practices and technologies leading to significant growth.


Maximise profitability through leading performance of an end-to-end work and operational processes.


Lead and drive weekly, monthly and quarterly plans for the operations function so that it has sufficient resources to achieve its agreed objectives and customer outcomes


Manage compliance, health & safety and people matters and overall standards.


Plan and implement operational and other necessary change initiatives at business site level to improve Business Unit profitability and productivity.


Be a influential leader driving team engagement by encouraging input, recognising performance and empowering team members to take responsibility for outcomes, building a strong team ethos that facilitates continuous improvement and the creation of a high performing team culture.

About You

Minimum 5 years in Logistics or warehouse management at a similar level


Proven Management experience in transport, logistics or fashion related industry.


Previous experience in managing a complex industrial environment


Exposure to 3PL Warehousing and familiarisation of automated warehousing - Vanderlande, Swisslog or Dematic preferred.


Be data driven with a strong data skilled background.


Strong Leadership Skills to manage and mentor the team.


Experience in managing warehouse and or logistics technology and driving operational improvements


Certificate or Diploma in Warehousing / business administration or related discipline


Ability to Drive the TOLL "Safety obsessed" strategy. Actively participate in the TOLL Incident & Injury free (IIF) program
