Due to an internal promotion, we now have a newly created role for an Office Coordinator to join our team.

The Office Coordinator is instrumental in ensuring that the office runs smoothly on a daily basis. They ensure that everybody coming into the office has an excellent experience which includes staff, clients, customers and candidates. The Office Coordinator will administer a range of office tasks to support the staff in focusing on their roles to help the business achieve set goals.

Working as our Office Coordinator you will get the opportunity to:

• Greet all staff and visitors to the office and ensure they have an excellent experience
• Assist with office morale and staff engagement by having a positive attitude and demeanour personally and professionally
• Ensure office is neat, tidy, and equipped for use to allow staff to work to full potential
• Maintain meeting rooms by tidying up after meetings, cleaning whiteboards, and replenishing supplies
• Manage the office kitchen, ensuring cleanliness by loading and unloading the dishwasher, organising and restocking the fridge, cleaning the coffee machine, and ordering kitchen supplies as needed
• Set up appointments, meetings, and manage meeting rooms and car park allocation
• Arrange post and deliveries including couriers
• Assist the Leadership team with administrative duties
• Assist with other administrative tasks such as PowerPoint presentations, Word documents and Excel spreadsheets
• Support the Office Manager in organising, executing, and dismantling both external and internal events

• Experience working in a customer service environment such as Retail or Hospitality
• High level of knowledge of office software (e.g. Microsoft Office Suite, Canva)
• Able to work in the office 5 days a week
• Occasional requirement for flexible hours to support events and meetings

Your new opportunity at the AFR.

The Australian Financial Review is seeking an enthusiastic and ambitious individual to join the team and provide support to the AFR Editor and Managing Editor as well as the AFR EA/Office Manager.

Day to day you will: 

• Provide administration support and action requests from the AFR Editor and Managing Editor in a professional, efficient and timely manner
• Support the AFR EA/Office manager
• Exercise discretion when handling confidential or sensitive information 
• Assist on editorial projects as required
• Organise meetings and staff functions (including venues, facilities, catering and resources required), and communicate to all relevant parties ahead of time
• Manage monthly expense reporting for the AFR editor and managing editor
• Assist EA with newsroom expenses and process invoices
• Provide administrative support to the newsroom 
• Arrange travel and accommodation 
• Prepare presentations
• Maintain rosters and diary management
• Monitor AFR inboxes 
• Maintain archives, filing and order stationery.

• Working within the Charter Team, your main responsibilities would be to ensure that private charter flights are managed from initial enquiry, quotation, booking of aircraft to the completion of the charter
• Build and maintain relationships with key travel bookers over your assigned client portfolio
• Build and maintain relationships with operators
• Assist in growing operator database and ensure operator and fleet data is accurate and up to date
• Manage charter requests from clients in a timely manner
• Manage and communicate all booking changes as required
• Create flight briefs and post flight reports
• Ensure all flight bookings adhere to our legal and compliance guidelines
• Manage client and supplier invoicing requirements
