Your key responsibilities in this role will include but are not limited to:

• Coordinate Domestic and International travel for Industries employees
• Maintain personal and generic (shared) mailboxes
• Manage onboarding of new employees and Subcontractors
• Identify and coordinate required training for staff and subcontractors
• Maintain accurate training records (training matrix + Personnel files) for all staff and subcontractors
• Assist with Ad-hoc Admin duties where required (including but not limited to testing new software for improved efficiency within the business, and assisting with Ad-hoc projects
• Participate as part of the Industries Administration team and collaborate effectively within a remote team

The Accounts Receivable Officer ensures the accurate and timely tracking of revenue, receipt of payments, and recording of financial transactions related to goods and services. This position is responsible for maintaining the billing system, generating invoices, reconciling accounts, and providing support to customers regarding their queries and documentation needs.

Key Responsibilities:

• Billing System Management
  • Maintain and update the billing system, ensuring accurate and up-to-date information
  • Sync data with accounting software to facilitate seamless financial transactions
• Invoicing and Documentation
  • Generate invoices, credit notes, and account statements in a timely manner
  • Verify and accurately post all payments to the corresponding invoices
  • Provide customers with any necessary support documents and address their queries
• Reconciliation and Month end reporting
  • Maintain accounts receivable records to ensure ageing is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared
  • Perform daily cash management duties, including the recording of bank deposits, updating and distribution of cash receipt logs, and posting of cash to the accounts receivable sub-ledger
  • Monitor and collect accounts receivable by contacting clients via telephone and email
  • Prepare analytical and ratio analyses relevant to A/R, so management can gain a better understanding of how collection efforts are progressing
  • Support other accounting and finance team members
  • Provide support for the month-end process, ensuring all tasks are completed accurately and on time.
• Responsibilities 
  • Support the company in optimising our financial transactions and systems by performing reconciliation of payments and customer accounts
  • Communicate discrepancies to management team, identify slow-paying customers, and recommend collection candidates
  • Strengthen and grow relationships with clients by communicating with customers regarding past-due accounts
  • Assist in streamlining the accounts receivable process by identifying areas for performance improvement
  • Exercise integrity and confidentiality in financial reporting, and comply with national and local financial requirements

What You Will Be Doing:

• Providing all residents and guests with a 5-star service, ensuring exceptional front desk services.
• Assisting the Building Manager and Head Concierge with issues related to By Laws, resident car park, reporting, keys auditing.
• Monitoring relevant movements of visitors, service providers and goods throughout the building and immediate surrounds.
• Database maintenance, receiving and answering emails, telephone, and security intercom enquiries.
• Securing resident keys, security devices, parcels, and dry cleaning.
• Internal and External Patrolling.
• Completing Incident Reports when necessary and responding to emergencies.
• Ensuring entry and lifts are tidy and presentable.

Working hours:

•  Monday to Friday from 11pm to 7am 

• Casual role
•  $30.99 per hour, (Band 5A 60% + 25% loading)

As a summer intern at Hume City Council, you will work on a wide range of projects that will help Council adapt to climate change and help shape climate action approaches.

What you’ll be doing:

• Supporting the development and implementation of climate adaptation and embedded emissions reduction projects through research and completion of identified tasks.
• Developing staff education materials and presentations to support organisation wide implementation of climate adaptive approaches. 
• Researching and preparing reports on issues relating to a sustainable environment and making recommendations for further work, particularly with relation to climate change adaptation.

The skills and experience you’ll bring to the role:

• Knowledge, experience and interest in environmental issues, particularly climate adaptation and sustainable procurement in relation to embedded emissions.
• The ability to communicate effectively, both verbally and in written form, with a broad range of stakeholders.
• The ability to undertake assigned tasks including research and investigations to a high standard
• Data analysis and evaluation skills
• An understanding of sustainability and environmental issues
• Liaise and develop cooperative working relationships with key stakeholders to facilitate effective outcomes.
