Role Overview
The Facilities Administrator provides essential administrative support to ensure the smooth operation of facility management services. The role involves coordinating maintenance activities, managing contractor documentation, and supporting risk management processes in high-risk areas. This position reports directly to the Facilities Manager and requires strong organizational skills and the ability to work in challenging environments.

Key Responsibilities
Administrative Support:
• Provide administrative assistance for the management of residential, commercial, and emergency housing facilities.
• Assist the Facilities Manager in conducting and documenting high-risk assessments for properties.
• Coordinate and schedule maintenance, repairs, and cleaning services.
• Ensure compliance with health and safety regulations by maintaining accurate records and supporting audits.
Contract and Cost Management:
• Support the Facilities Manager in managing tenders for contractors, including preparing and tracking documentation.
• Assist in calculating and comparing costs for required facilities management services.
• Monitor and maintain records of service level agreements (SLAs) to track contractor performance.
Communication and Coordination:
• Act as a liaison between the Facilities Manager, contractors, internal teams, and external stakeholders.
• Communicate updates regarding maintenance schedules, risk mitigation plans, and compliance requirements.
• Coordinate with external agencies, such as mental health professionals and law enforcement, when required.
Strategic and Financial Support:
• Assist in preparing reports and budgets for facility management operations.
• Support long-term planning and development projects in line with strategic business objectives.
• Maintain and update financial and administrative records related to facility operations.
Travel and Reporting:
• Occasionally travel to sites in Melbourne and Mildura to support operations and ensure consistent documentation.
• Report directly to the Facilities Manager, providing updates on administrative processes, contractor performance, and compliance issues.

Qualifications and Skills
Mandatory:
• Certificate IV or higher qualification in Business Administration, Facilities Management, or a related field.
• Experience in administrative roles within facilities management or a related industry.
• Proficiency in property management software, Microsoft Office Suite, and document management tools.
• Strong knowledge of health and safety regulations and administrative risk management processes.
• Valid driver’s license and willingness to travel as required.
Desirable:
• Experience in tender administration and contractor management.
• Knowledge of financial record-keeping and cost analysis.
• Certification in Occupational Health and Safety or High-Risk Work.
• First Aid and Mental Health First Aid certification.
