As the Executive Coordinator you will report to the CEO with lines of reporting to the CTO, GMBD and at times the Board of GuardWare.
The Executive Support Coordinator reports directly to the Chief Executive Officer and will be the Human Resources functional lead,.
The Executive Support Coordinator will be responsible for providing a range of prompt, high quality, confidential administrative and executive support to the Chief Executive Officer, Executive Team and Board.
Duties may include and are not limited to -
calendar and mail management,
organising and coordinating meetings and any materials,
minute taking,
drafting correspondence,
formatting of reports and presentations,
data entry and maintenance of registers,
filing,
overseeing travel and accommodation arrangements, etc.
Although the Executive Support Coordinators main role is providing direct support to the Executive Leadership Team
the incumbent will also drive Inductions, security and Human Resources for the GuardWare team.
The Executive Support Coordinator will be required to contribute within the team to ensure that a range of business support activities are highly functional and responsive. These duties may include:
onboarding/inductions,
off boarding of staff,
all recruitment aspects, as required,
answering of phones,
assisting staff with enquiries,
participating in team meetings and
other administrative tasks.
GuardWare operates in a dynamic, rapidly changing environment which requires the incumbent to be flexible, reliable, adaptable, a good listener and communicator with the ability to use initiative in performance of work. The Executive Support Coordinator will at times be required to be involved in key internal and external committees or contribute to Projects or Bid/Grant application support, either as a team member or administrative support.
The Executive Support Coordinator is the appointed administrator for LOGIQC, and the GW Quality Management System.
This role is full time. Given the security requirements the applicant must be an Australian Citizen, pass a Police check and be able to gain and hold an Australian Security Clearance in due course.
The Executive Support Coordinator would typically hold:
Bachelor's Degree in Administration related studies, or equivalent experience.
Advanced understanding of Microsoft Office products. with Strong computing skills.
Be a natural problem-solver and be a critical thinker.
Fluency in a variety of applications related to administrative roles such as Adobe , Docusign, Document conversion products and general graphics programs
Collaboration skills and experience with performing exercises such as onboarding.
As our Executive Support Coordinator, you will be responsible for making the right choices when it comes to executive support activities to prioritise and ensure effective senior leadership operations.
