Your new role
Your new role as an Executive Assistant will see you providing high level support to the Branch Head and the wider leadership team with administrative duties. This vacancy will be offered on an initial 12 month non-ongoing contract with the view for extension.
This position requires a motivated individual who is able to work under pressure and under general direction and be responsible for the delivery of timely, efficient, effective and friendly high level administration and executive support. It requires a high degree of professionalism, judgement and discretion. You will be working with a Branch Head who has a lot of loyalty amongst the branch. You will have a positive attitude, be approachable and personable and have the ability to work as part of a team as well as leverage off your own networks throughout the branch. This will ensure success.
Your key responsibilities in this role are to:
providing the first point of contact for all business activities undertaken by the Branch Head, including managing and responding to phone calls, emails and general correspondence, preparing responses to routine and less complex enquiries
diary management and coordination including managing and organising meetings, briefings and events and anticipating and managing competing commitments
coordinating and tracking ministerial workflow; collating and follow up of information to ensure deadlines are met
providing high quality administrative assistance in collating papers and folders for meetings attended by the Executive that you will assist
arranging meetings and organising logistical arrangements (room bookings, refreshments and escorting external stakeholders)
liaising with various stakeholders of all levels including the Minister's Office and providing assistance with general enquiries
providing other general administrative support functions as required, acting professionally and displaying the behaviours in line with the APS Values and Code of Conduct.
What you'll need to succeed
To be successful in this role you will be required to have previous experience executive support and possess excellent interpersonal, communication and coordination skills.
You will also possess the following:
Prior experience as an EA or PA within Government or a private sector organisation
Demonstrated ability to perform the duties of an Executive Assistant providing administrative support to an Executive.
Well developed organisational and time management skills, including diary management, travel, and research skills
Ability to exercise sound judgement and show a high degree of initiative, integrity, professionalism and discretion when dealing with confidential and sensitive business matters.
High attention to detail and the ability to remain flexible and respond to changes as required.
Understanding and application of the APS Values and Code of Conduct.
You must be an Australian citizen to be considered for this role and have the ability to obtain and maintain a baseline clearance or higher.
