Background
Sunshine Family Support offers personalised NDIS support services for children, ensuring every family receives tailored care and empowerment in their journey to independence. Sunshine Family Support provides support workers for in-home Support, Community Access, Personal care and Respite/Short Term Accommodation. Currently they have a vacancy for a Personal Assistant on a full-time basis for right applicant.
Daily tasks include
• Coordinate and organise meetings, including coffee breaks, within the office for both staff and stakeholders.
• Provide direct support to the director during meetings, including taking detailed minutes and coordinating future appointments with staff members.
• Prepare reports and newsletters on behalf of the director for distribution to staff and families, ensuring timely communication via email and phone to monitor the quality of support services and to manage various documents.
• Organise and maintain archives of documents and confidential information, including client profiles, diagnoses, risk assessments, and shift notes. Ensure daily tracking of shift notes and verifying accuracy.
• Manage the director's work-related travel arrangements, including organising itineraries, booking flight tickets, and overseeing expense schedules.
• Handle incoming calls and emails, directing them to the appropriate departments for timely responses.
• Obtain quotes and handle the purchasing of office supplies, as well as managing postage of documents on behalf of the director.
• Provide support to administrative staff in daily tasks and oversee the office calendar, ensuring that all activities and meetings are properly scheduled and coordinated.
Requirements:
1. Minimum qualification of Diploma in Business, administration, or similar fields.
2. At least 3 years of administrative experience as a Secretary or Operational/Managerial Assistant.
3. Previous Experience working in the field of disability, family, and children support services and understanding of different types of disabilities and NDIS knowledge are preferred.
4. Customer service skills, strong communication and organizational abilities, and proficiency in standard Office software (Word, Excel, PowerPoint, Outlook)
5. Work rights in Australia
Annual salary: $73,150.00 + superannuation
