Providing advice and support across the organisation to ensure that Council run events and activities are appropriate, relevant and targeted, and achieve the strategic objectives of Hume City Council (HCC).
What you’ll be doing:
- Assist in the planning, development and implementation of Council events such as ministerial announcements, launches & openings.
- Contribute to and support the diverse range of events (including virtual events) to meet community and organisational requirements.
- Provide administrative support for of Council led events and approved external community led events and activities.
- Establish and maintain databases and mailing lists of relevant organisations and contacts.
- Purchase goods and services for the department, including creating purchase orders and processing invoices for payment.
- With support from Coordinator Events & Festivals undertake day-to-day financial administration including program budgets ensuring completed tasks are consistent with budget and resources
- Provide consistent and quality customer service to all internal and external stakeholders.
- Display initiative when dealing with customers, contractors, and members of the public.
- Foster effective working relationships with key internal stakeholders, external contractors and sponsors, and other staff within HCC.
- Work collaboratively and openly with the wider Events and Venues team to execute consolidated solutions.
- Work closely with the Coordinator Events & Festivals to ensure WHS policies and procedures are followed for all events and activities, including undertaking risk assessments, collation of safety documentation (from clients/suppliers), provision of safety briefings to staff and volunteers (in conjunction with relevant Safety Officers) and review of Risk and Emergency Management Plan to ensure event compliance.
- Assist the Coordinator Events & Festivals, Venues Team, and relevant event site authorities to produce accurate Emergency Management Plans.
The skills and experience you’ll bring to the role:
- Knowledge of market research techniques and appropriate methods of analysis.
- Relevant experience in planning, co-ordinating, marketing and promoting events/festivals and corporate functions.
- Demonstrated knowledge of and experience in appropriate computer applications and ability to create documents and databases.
- Ability to identify customer needs and expectations, decide the appropriate action and respond accordingly.
- Demonstrated ability to promote, and “sell” new ideas to others.
- Flexibility, forward thinking and ability to develop innovative programs and projects.
- Demonstrated relevant experience in organising and conducting corporate and community events and functions.
- Experience in or a good understanding of Local Government processes and community consultation
Required Certifications & Qualifications:
- Relevant qualifications in events management, marketing, or a related discipline with experience in leisure, event management, or relevant experience in events management with lesser formal qualifications.
- Current driver’s licence.
