One of our clients, Newline Slabs, is looking for an experienced Operations and Project Administrator. Newline Slabs, is a reputable concrete contractor known for its high-quality workmanship and reliable services. Specializing in concrete slab construction, the company provides both online estimates and onsite services, catering to a variety of residential and commercial projects. With a strong commitment to customer satisfaction and attention to detail, Newline Slabs has established itself as a trusted name in the industry. The details of the position are as follows:
Position: Operations and Project Administrator
Salary: $80,000 - $85,000 plus superannuation
Location: 57 Collins Rd, Melton VIC 3337
Job Type: Permanent position, Full time. Must be available to work on weekends and public holidays.
Primary responsibilities will include, but are not limited to:
1. Organize critical documentation for easy access and retrieval, increasing team productivity.
2. Streamline administrative processes by implementing efficient workflows that reduce paperwork burdens.
3. Enhance project efficiency by streamlining communication channels and implementing effective tracking systems.
4. Accurate material and labour estimates for jobs ranging from small to large budgets.
5. Facilitate regular team meetings for effective communication, collaboration, and problem-solving efforts.
6. Maintain accurate records of all project-related expenses to facilitate budget tracking and financial reporting.
7. Manage budgets for multiple projects, ensuring cost-effective allocation of resources and minimizing overspend.
8. Assist in the preparation of final project reports and presentations through thorough analysis of quantitative data and qualitative feedback.
9. Monitor project progress closely, promptly addressing any deviations from the plan or schedule.
10. Efficiently manage incoming requests from stakeholders by prioritizing tasks based on urgency and relevance.
11. Negotiate contracts with vendors, securing favorable terms to optimize project outcomes.
12. Increase stakeholder satisfaction with frequent progress updates and transparent reporting methods.
13. Avoid construction delays by efficiently following through with site inspections.
14. Reduce project completion times by effectively coordinating resources, schedules, and team members.
15. Support senior management in strategic planning activities related to future projects or initiatives within the organization.
16. Document construction and extraction workers' information.
17. Prepare and submit reports on job progress and safety conditions to upper management.
18. Communicate with stakeholders on job milestones.
To be considered for this role, your key skills, and attributes must include:
1. Possesses appropriate qualifications with a minimum of two years of professional experience in administration, procurement, or a similar role.
2. Holds a Bachelor’s degree in Business Administration, or a related field.
3. Strong analytical and problem-solving skills to identify and mitigate contractual risks.
4. Experience with project management methodologies.
5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and contract management software.
6. Must possess unrestricted working rights in Australia.
