As our Reception/Administration Officer, you will play a vital role in ensuring the smooth operation of our centre. Your days will be dynamic and fulfilling, encompassing both reception and administrative duties to support our team of dedicated professionals.
Key responsibilities:
- Form part of the reception team and liaise with headspace clients, staff, and other professionals both in person and over the phone, providing professional, friendly, warm and calm assistance
- Register and coordinate appointment bookings for our headspace primary staff, Youth Health Clinic, Allied health professionals and co-located services
- Ensure reception, waiting rooms, and consulting areas are tidy, comfortable, and inviting daily
- Arrange and prepare meeting/training rooms as needed, facilitating smooth operations for internal meetings and community engagements
- Assist with ordering supplies and coordinating maintenance tasks
- Perform data entry of client information, ensuring accuracy and confidentiality
- Assist with ad hoc administrative tasks set by the Line Manager, including supporting the billings system, recording client details into the CRM, scanning/uploading files and maintaining office supplies

About you
To excel in this role, you will possess the following skills and experience:
- Previous experience working in an office environment, preferably within a medical or health setting
- A vibrant and engaging personality demonstrating your ability to create positive and welcoming environments for clients
- Ability to communicate with and support young people and their families with complex needs
- Demonstrated experience/interest in working with young people
- Proficiency in phone management, front desk operations, and office administration, with a keen focus on client relations and service excellence
- Strong organizational skills, with the ability to prioritise and manage your time effectively
- Demonstrated experience or interest in working with young people
- Proficiency in the use of digital technologies including word, excel, client records management and booking systems (EpiSoft)
- A certificate IV Business / Medical Administration equivalent or demonstrated learned experience is highly regarded
