About the opportunity
We’re looking for an Executive Assistant/Office Manager to support GYG’s Director of Franchise Operations and our Brisbane Support Office!
As the Executive Assistant you will:
- Provide administration support to the Director, including meeting coordination, general business correspondence, expense administration and email management
- Manage calendar schedules, events, appointments and bookings, including complex itineraries for regular regional and interstate travel (for Director and wider Franchise Operations team)
- Coordinate team meetings, including attendance, minute-taking, and use of project management tools
- Manage the Franchise Operations team annual leave calendar and annual leave approvals
- Play a key role in event planning for national Quarterly Franchisee Round Tables, national Quarterly Restaurant Manager Development Days and team building days, including administration of event travel and collation of presentation materials
- Collate information for the Franchise Operations team's board submissions
- Act as the Office Manager for GYG’s QLD support office, including acting as the key point of contact for visitors, deliveries, maintenance, cleaning, building management & security etc.
- Manage the order and receipt of supplies for the QLD office, including stationery, food & drinks, cleaning supplies etc.
- Create welcome packs for new hires, including managing merchandise and restaurant uniform stock levels, as well as the office seating plan
- Manage staff parking, including parking bay booking system and issues management (e.g. PIN code errors, unauthorised use, missing/damaged signage etc.)
What are we looking for?
We’re looking for a highly organised and motivated individual with:
- Experience as an Executive Assistant, Personal Assistant or similar (e.g. Office Manager with similar responsibilities to that of an EA/PA)
- Effective time management skills
- A high level of attention to detail
- Strong proficiency across the MS Office suite
