As the Executive Assistant to the Chief Member Officer, you are responsible for supporting the CMO, and for day-to-day administrative support to the Member team. Your role will contribute to the development of the member experience and representing the brand of the Member team positively throughout Rest.
Key Accountabilities/Responsibilities
- Provide exceptional assistance to the Chief Member Officer and their Leadership team. Performing various complex administrative support functions, including but not limited to, analytical and specialised administrative duties to ensure efficient office operations, email and diary management.
- Perform advanced word processing to include complex presentations, reports, spreadsheets, and graphs; transcribes information of a technical, confidential and or sensitive nature.
- Screen mail and callers, respond to and route inquiries to appropriate staff as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the Chief Member Officer.
- Research, compile, summarise, and analyse information to formulate correspondence and respond to various inquiries from internal and external sources.
- Working in conjunction with the Member Leadership team and Member Business Management team to ensure the smooth running of the Member function.
- Manage the organisation of critical Member Forums and meetings including scheduling and invitations, booking rooms, setting up agendas, minute taking, organising catering and distribution of meeting documentation and minutes in conjunction with the Member Business Management team.
- Circulation of reminders of outstanding action items, project reports and documentation to the relevant parties and individuals in a timely manner allowing for adherence to deadlines in conjunction with the Member Business Management team.
- Maintains all team documentation and information that may be confidential, sensitive and or critical along with project or team artefact documentation and project or team financial reporting into the document management system.
- Assists the Chief Member Officer in preparation and timely submission of reports and presentations to Rest Committees and Board and other Senior Executives of Rest.
- Actively promote and ensure clear communication within the team and facilitate communications across Rest.
- Complete expense reporting, invoice processing and track budget expenditures for all the team.
- Participate in a culture of cooperation, initiative, and responsibility throughout Rest to maintain a safe and healthy workplace and meeting the requirements of Rest’s WHS policies and Management System.
