Workshop Administration Assistant / Receptionist

Are you a detail-oriented and organised individual looking for an exciting career opportunity in workshop administration? Look no further! We are seeking a dynamic Administrator to join our team and help us deliver support to our Workshop Manager in fulfilling various administrative needs.
Tasks & Responsibilities
Reception / Administration
• Answering telephone calls, and responding to queries
• Customer follow-up telephone messages and emails
• Liaising with internal, external customers and on-site subcontractors
• Manage email inbox and replying to emails
• Coordinate the day-to-day administrative duties such as filing, scanning, and other duties to support the workshop manager
Workshop Administration / Accounts
• Data entry
• Create job folder
• Workshop / job tracking
• Raise PO’s as required to support the workshop manager
• Invoicing (Xero / QuickBooks)
• EFTPOS sales and settlement reconciliation
• Note taking for all jobs
• Parts reconciliation for workshop completed jobs
• Time management
• Problem solving
• Liaising with accounts department
Skills & Experience
• Demonstrated ability to work in a team environment and autonomously.
• Experienced in Xero - Invoicing, QuickBooks, and Workshop Management.
• Excellent communication and interpersonal skills
• High attention to detail
• Experience in similar role – desirable
